Donation Coordinator/Office Assistant

Reporting directly to the Database Manager and Analyst, this position accurately enters donations received by check and consistently codes donor and donation information in Salesforce based on the Fisher Center Foundation’s (FCF’s) gift coding policy. They ensure that donation acknowledgments are processed within 48 hours of the donation receipt. They also support the Executive Director (ED) and sets the first impression of the organization with callers and visitors. This individual will be experienced in handling a wide range of administrative and executive support-related tasks and should be flexible, proactive, and efficient with the ability to remain calm and retain focus under pressure. They will be a highly resourceful team player, with excellent organizational skills, who is comfortable working independently or with an ad hoc team.

Areas of Responsibility: 

Development Administrative Support


● Collects daily mail, scans documentation to save as electronic files, and prepares checks for deposit.
● Enters check donation details into Salesforce using the organization’s gift coding policy, including researching fees associated with checks, and records gross amounts.
● After data entry, reconciles to match finance reporting.
● Monitors database for formatting errors and duplicate entries based on the organization’s policy; makes changes and corrects errors.
● Maintains greeting and mailing address cleanup (for new contacts).
● Researches and maintains donor-advised donation portals in order to identify donors and donation amounts. Cross-references database records against paper records or follows up with donation contact who can verify specific contact details.
● Prepares donation acknowledgment template and sends letters within 48 hours of donation receipt.
● Reviews donation and tribute letters prior to printing.
● Keeps track of donor inquiries re: returned checks/missing checks.
● Phone coverage: Answers incoming calls, manages the organization’s general email inboxes, and responds to inquiries and donor requests.


Executive Director and Office Support


● Completes a variety of administrative tasks for the ED such as managing an active calendar of deadlines; reconciling monthly credit card expenses; transcribes board and committee meetings quarterly.
● Copies, reviews, and date stamp incoming mail; scans and files documents; screens phone calls and greets visitors; updates the office contacts; maintains executive files.
● General office duties include filing, inventory, and ordering office supplies.

Educational Background: 
● Associate’s degree from an accredited college or university.
● Minimum six years’ practical experience working in an office setting, preferably in a non-profit environment with fundraising CRM/databases.
Skills/Experience: 

● Excellent computer skills: Dropbox, Google Suite (Mail, Calendar, Drive), and Microsoft Office (especially creating Excel formulas, including vlookups).
● Direct experience with Salesforce is a plus.
● Dependable and detail-oriented, with the ability to meet deadlines and set priorities.
● Acute attention to detail and accuracy.
● Exemplary customer service and interpersonal skills.
● Able to maintain confidentiality and discretion at all times.
● An independent worker, with the ability to be a team player.

Compensation/Benefits: 

Salary commensurate with experience; medical, vision, and dental benefits including disability and life insurance offered after 90-day probationary period; plus 401(K) with employer match after one year of employment.

The Fisher Center for Alzheimer’s Research

A majority of our funding goes to the Fisher Center Lab at The Rockefeller University that was under the direction of the late Nobel laureate Dr. Paul Greengard, which is now under the interim leadership of Dr. Marc Flajolet. The Center has provided researchers around the globe with a conceptual framework for understanding the disease process and continues to be at the forefront of one day finding a cure for Alzheimer’s disease. The late Dr. Greengard collaborated with scientists nationally and internationally to investigate the latest, most promising research available. The collaborations will continue in his absence.

The Foundation’s national comprehensive Alzheimer’s Information Program, the heart of which is the Foundation’s website, www.ALZinfo.org continues to spearhead efforts to increase awareness of and education about Alzheimer’s disease to the general public. The website provides in-depth information on the most current research studies, treatments, and disease management approaches. It incorporates the latest in scientific and social research with a unique Resource Locator feature for locating appropriate services in local areas. Visitors can find doctors, nurses, disease centers, elder law attorneys, geriatric caregivers, home health agencies, Medicare information, aging agencies and more. The website is complemented by a 1-800-ALZINFO phone system that provides the same services to those who do not have access to the internet.

Preserving Your Memory® magazine is a quarterly publication with a circulation of 100,000 copies per issue. To get the most out of our nationally distributed magazine, we distribute to a targeted a combination of high-prescribing Alzheimer’s disease doctor’s office waiting rooms. The magazine has proven to be an excellent platform to educate the public about the need, both financially and legally, to pre-plan and set certain protocols in place. Articles on health proxies, living wills, powers of attorney and long-term health care insurance have been included in each issue to reach as broad an audience as possible. Also, our editorial content is reviewed by the scientific staff at The Rockefeller University for accuracy and reliability. The studies and findings help readers make informed decisions about drugs treatment, care options, the present state of Alzheimer’s research today, and what positive steps they can take to both enhance their cognitive function and better prepare for successful aging. Working Conditions
The position will reside in an open workspace. The daily data entry is repetitive, but the work environment is friendly. The normal workweek is Monday through Friday from 9:00 AM to 6:00 PM (40 hours) with an hour lunch break. Less than 1% travel; must be capable of lifting at least 10 lbs. Business smart is the expected style of dress, with occasional business professional attire for executive meetings and special events post-global pandemic.
