Manager, 2-1-1 Resources

To ensure the 2-1-1 resource database and database products meet quality standards according to national and organization standards and manage 2-1-1 resource database staff.

Areas of Responsibility: 
  • 30 %  Supervision: Delegates measurable work to assigned staff to achieve goals. Identifies and coaches staff regarding developmental needs in line with organizational goals and policies. Serves on the Interview Committee. Supervises the work of other UW staff, volunteers and interns that assist with components of the resource database updating process (i.e. web updates, mailings). Audits resource updates for quality assurance. Monitors productivity of the resource department staff and actively works to balance workload according to the skills of the resource team.
  • 25 %  Database Curation: Coordinates the collection and inclusion of information for the resource database in accordance with AIRS/2-1-1 Taxonomy as well as AIRS and agency style Guides, including annual update process, seasonal/incremental updates, and new programs. Develops, implements and supervises the annual resource update process. Assists with maintaining the 2-1-1 resource database according to national and agency standards for the resource database component of seeking and maintaining AIRS accreditation.  Enters agency and service information in resource database.
  • 20 % Resource Database Administration: Serves as the System Administrator for the resource database software. Maintains the category system in resource database software. Coordinates the creation of database products such as online databases and exports from the resource database and written directories. Develops written training materials on the resource database and maintains the resource database component of the 2-1-1 training manual. Communicates with software vendor regarding problems with database software.
  • 15 %  Communication and Partner Relationship Management: Develops and maintains effective and solid working relationships between UWSC organization and other partners in the community seeking to achieve aligned goals and objectives, including program funders. Represents agency at meetings to gather information and act as an agency representative. Does presentations to groups of any size and arranges for resource staff involvement in community events/groups/committees. Proactively gathers and delegates information for database maintenance purposes including new agency information forms, annual surveys and interim updates. Follows up on feedback from UW staff, interns/volunteers, agency contacts and callers. Corresponds with agencies seeking to be added to the database or which do not respond to staff requests for an annual update.

Percentage of Time

  • 5%  Engagement: Participation and support in assigned engagement calendar events, marketing events, and related preparatory meetings.
  • 5%  Other duties as assigned: Provide backup support to all roles in the 2-1-1 department and other United Way staff as needed.
Educational Background: 
Bachelor’s degree in English, Social Work, Library Science, Humanities or other related field required.
Skills/Experience: 
  • Master’s degree preferred.
  • Prior experience supervising staff or volunteers or leading a team.
  • Prior professional experience writing and editing.
  • Ability to obtain the Certified Resource Specialist-Database Curators credential from AIRS within the first 12-14 months of employment.
  • Experience working with or managing relational databases preferred.
  • Knowledge of social services (agencies or systems) preferred.
  • Competent in MS Office products.

PHYSICAL/OTHER REQUIREMENTS:

  • Position is primarily a normal office setting, requiring long periods of sedentary work at a desk and computer.
  • Ability to routinely travel throughout multi-floor office utilizing stairs or elevator.
  • Minimal lifting up to 10 pounds occasionally.
  • Ability to pass pre-employment testing including background check, drug and alcohol screen.
  • Must be able to sit, stand, reach with hands and arms, bend and stoop.
  • Must be willing to work non-standard work schedule including nights, weekends, and other unusual hours on occasion.
  • After-hours event attendance occasionally.
  • Some overnight travel may be required.
  • Valid driver license and proof of insurance with ability to pass annual motor vehicle report check in compliance with corporate insurance requirements.
  • Access to reliable insured automobile to be used for work-related travel in Summit County area.
  • 5% of travel.
