This position supports the work of the YMCA of the Rockies, Snow Mountain Ranch, which operates a mission-based family and group conference and retreat center, and a residential camp, serving more than 50,000 annually. The Conference Coordinator – Partner Groups & Admin Focus is primarily responsible for effectively communicating with Partner groups such as Adam’s Camp, Heritage Camp and Project Sanctuary, coordinating needs of other assigned groups, and assisting the Director of Operations with administrative and business office duties as assigned.

Areas of Responsibility: 
  • In cooperation with the Director of Operations, serve as primary point person for our Partner Groups, including Adam’s Camp, Heritage Camp, and Project Sanctuary.
  • Assist group leaders of other assigned groups with pre-conference planning, managing groups according to contract, and post-conference evaluation.
  • Collect and process conference related information, including such things as contractual and lodging questions, special needs requests, contract changes, and cancellations.
  • Coordinate group
  • Assist Director of Operations with administrative tasks that include creation of the weekly pre-conference spreadsheet, creating and revising conference training materials, and managing the guest review & follow up process.
  • Work with guest registration/front desk staff to check groups and guests in and out.
  • Assist group leaders with pre-conference planning, managing groups according to contracts, and post-conference evaluation.
  • Act as a tactful liaison between group leaders, Conference staff, and other departments.
  • Respond to problems, concerns, and emergencies, including returning to the Conference Office and facilities
  • Coordinate and lead guest tours.
  • Work effectively with Food Service staff to coordinate refreshment requests.
  • Work cooperatively with Guest Registration Desk to check events, groups and guests in and out.
Skills/Experience: 
  • Possess a valid, USA state-issued driver’s license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles.
  • Ability to work flexible days including weekends, holidays and evenings.
  • Should be able to lift up to 30 pounds.
  • Demonstrate ability to speak, read and write fluently in English.
