Specialist-Save the Children Action Network (SCAN) Advocacy Operations

The Advocacy Operations, Specialist is a vital position, with a focus on supporting fundraising for Save the Children Action Network (SCAN). The position focuses heavily on writing donor communications (e.g. proposals, reports, letters of interest), as well as research and collaboration across the division and organization. The Specialist will also provide administrative support to the SCAN Senior Management Team, State and National Campaigns, Senior Director and work on special projects to support the campaigns work in the United States.

Areas of Responsibility: 

Support fundraising and donor cultivation work (50%)

  • Work with State and National Campaigns, Senior Director, as well as the Agency and US Program and Advocacy fundraising teams to prospect new donors, execute grant reporting and manage grant development.
  • Develop, write and assemble high-quality letters of interest, proposals, reports and other donor communications that comply with donor requirements and align well with interest and need, both internally and externally.
  • Develop materials to support ongoing donor stewardship.
  • Maintain detailed grant tracking and grants calendar for advocacy programs.
  • Develop and update boilerplate, donor-facing language as needed for advocacy programs.
  • Draft briefs for donor meetings.
  • Provide support as requested for special projects.

Support the execution of federal, state and local campaigns. (25%)

  • Oversee the development, inventory and shipment of promotional materials for outreach and campaign activities
  • Provide administrative and IT support to the Senior Director during the planning and execution of the annual national Advocacy Summit and other cross-team events.
  • Provide support as requested for special projects.

Provide administrative support to the SCAN Senior Management Team and State and National Campaigns, Senior Director (25%)

  • Schedule meetings, take minutes, and track action items for team meetings, including the SCAN senior management team, as well as Coordinating Council and SCAN board meetings.
  • Serve as finance point-person for the SCAN Senior Management Team.
  • Compile and distribute weekly schedules and support internal communication for the State and National Campaigns Team.
  • Assist with internal monthly and quarterly reporting.
  • Properly code and submit invoices and complete expense reports and reimbursements for the Senior Director.
Educational Background: 
High School or Technical/Vocational Degree.
Skills/Experience: 
  • Minimum 3-5 years nonprofit fundraising, operations or administrative experience.
  • Excellent verbal and written communication skills.
  • Strong relationship and partnership orientation.
  • Ability to function well within a team environment with an institutional-wide view.
  • Respect for teamwork and Collaborate well with others, including appropriate communication and coordination with colleagues.
  • A commitment to working in a fast-paced, deadline-driven, collaborative environment with shared goals.
  • Demonstrated ability to meet multiple deadlines by maintaining a high level of organization.
  • Able to develop and move projects forward with independence and autonomy.
  • Attention to detail and thoroughness.
  • Excellent organization and project management capabilities, and able to identify and maximize resources to ensure the success of projects.
  • Proficient in Microsoft Office Suite.

Preferred Qualifications

  • Demonstrated success in writing grants and other donor communications (e.g. letters of inquiry, proposals, reports).
  • Knowledge about grassroots and advocacy campaig
  • Experience with foundation relations in a nonprofit setting
  • Experience or understanding in advocacy fundraising, major donor cultivation, grant writing and/or tracking.
