This is a full-time, non-exempt, professional position for a motivated individual with expertise in case management, data collection and analysis, and event planning. This position will support grant administration and program management for two regional First Things First home visitation grants. Additionally, this position will manage the referral system for family support services and resources throughout Pima County. Reporting to the Sr. Director of Family Support, this individual will assist with managing and facilitating the work of the Family Support Alliance, a coalition of agencies that provide home visiting, parenting education, and other family support services in Pima County.
Project Development and Implementation
- Works cooperatively with and supports members and leadership of the Family Support Alliance (FSA) in carrying out the assigned projects.
- Oversees data collection and compilation from FSA partners’ monthly reports and assists Family Support Director in preparing data and narrative reports for First Things First and the Regional Partnership Councils according to assigned timelines.
- Provides effective implementation of activities for the referral system established among funded and unfunded community partners providing services and resources to families with young children. Expands knowledge through meetings, networking, and research about organizations, programs and services offered throughout Pima County to support families and children, especially those exhibiting high risk characteristics. Handles inquiries from the community looking for information about home visitation, parenting classes, and other resources and supports. Develops a system of collecting and warehousing this information at United Way both within its internal systems and on its websites and blogs.
- Works with Family Support Director and FSA partner agencies to coordinate regular professional development (PD) sessions for FSA partners as outlined in the grant proposal. When needed, helps coordinate contracting and invoicing with individuals delivering PD sessions. Assists in scheduling, promotion, and evaluation of PD and provides any other support needed prior to and during these sessions.
- Works with Family Support Director and FSA partner agencies to coordinate parenting events and any other public events and activities implemented under the Home Visitation grant. Helps with logistics of these events, promotion, and evaluation.
- Assists Family Support Director with activities to expand FSA funding and other UWTSA early childhood initiatives.
- Assists senior CD staff with coordination of funded activities as needed.
- Oversees the communication to the Family Support Alliance. Ensures that FSA updates are sent out to the FSA listserv.
- Assist in the grant writing and budget creation process.
- Works with UWTSA staff to organize FSA, FFK, and other events (e.g. annual Business Breakfast).
Program Administration
- Maintains files, communications, and other records to ensure efficient and effective implementation of the referral system.
- Maintains a tracking system that allows generation of data and reports on the number of families referred, types of services and supports they enroll in and receive, and collects any other data and qualitative information to ensure successful implementation of the referral system and reporting on its outcomes.
- Maintains close and regular communication with partner agencies and community organizations to increase knowledge about resources available for families and young children and to allow seamless exchange of information.
- Assists in monitoring of assigned contracts for compliance.
- Oversees and assists with designing and monitoring quarterly reporting requirements.
- Responsible for maintaining and updating subgrantee program files, including documents required by FTF and other agencies and funders.
- Receives and processes monthly partner invoices.
- Assists in maintaining home visitation budgets, monitors partner agency budgets, budget modifications and invoices.
- Assists in collecting and submitting home visitation data, when needed, and narrative reporting to First Things First, assists in monitoring performance measures established by FTF to ensure compliance and quality.
- Oversees and assists with the logistics of FSA professional development workshops and other events organized within the scope of work for FTF-funded grants.
- Prioritizes responsibilities and assignments and completes timely reports.
- Creates, modifies, and maintains routine and special letters, memos, and reports using Word, Excel spreadsheets, and other software packages and databases.
- Maintains project files, monitors subgrantee invoices for accuracy and assists in preparing reimbursement documents for submission to First Things First.
- Collaborates with United Way finance staff to ensure that all grant and financial procedures and payments to partners follow policies and procedures regulating United Way operations and the Subgrantee Agreements in effect.
Facilitation/Coordination
- Works collaboratively with other agencies and contractors responsible for providing home visitation services as well as other FTF-funded programs to ensure cross-agency and cross-departmental collaboration.
- Shares program information with United Way and other community agencies to ensure access to programs, resources, and services available to assist families and partners with access to services.
- Assists with facilitation of monthly Family Support Alliance meetings.
- Develops and maintains collaborative relationships with partner agencies and government organizations to expand resources available to support program implementation.
Resource Development
- Participates in United Way resource development activities to support the work of the Resource Development Division in securing resources and carrying out special events and projects (e.g., Days of Caring, Business Breakfast, Circle of Excellence, and First Focus on Kids events).
Evaluation
- Prepares graphs, charts, maps and other visuals and reports to illustrate the work of the referral system.
- Collects information about the referral system that may be needed for evaluation by UWTSA staff or FTF Quality Assurance Specialist.
Public Education/Advocacy
- Assists with the distribution of Family Support Alliance materials.
- Participates in local community and First Things First-related events.
- Assists with activities related to public education, advocacy, family support, and professional development efforts, and other community projects as related to family support and professional development.
- Participates in local community events and employer “fairs.”
Coordination/Customer Service
- Provides excellent customer service as a component of all job duties.
- Establishes and maintains effective working relationships with United Way staff at all levels, volunteers from diverse backgrounds, donors, partner agencies, community organizations, independent contractors, and others.
- Two years’ work experience in case management, early education, business, public administration, human services, social work, public health or related field.
- Proficient with social marketing and maintaining a website and blog.
- Advanced MS Office software applications (Excel, Word, and Outlook) and database management skills.
- Excellent oral and written communication skills.
- Demonstrated customer service, grant administration, problem solving, research, and information management skills.
- Demonstrated financial knowledge and budget management skills.
- Demonstrated ability to tactfully handle stressful situations, negotiate and resolve conflicts, maintain confidentiality, and to respect and observe organizational protocol.
- Ability to maintain a flexible work schedule (including working early mornings, evenings, and/or weekends) and adjust it as required by changing activities.
- Must possess a valid driver’s license, current auto insurance, daily access to a reliable vehicle and the ability to occasionally lift up to 30 pounds.
Salary: $31,000 to $40,000 per year
