The St. Petersburg, FL office of the American Heart Association has an opening for a Development Specialist .
This position will support the year-round strategic relationships and the Heart Walk event . This includes coordinating all logistics and associated events for the year-round relationships, managing and creating support materials for those sponsors, and support the Heart Walk team on the third largest Heart Walk in the country.
Primary Functions:
- Help plan of event’s logistics, including the Tampa Bay Heart Walk, but also additional event throughout the year like a CEO Breakfast, a Heart Walk Awards Party, an Executive Challenge celebration event (i.e.: securing venue, reviewing vendor contracts and proof of insurance, van/truck rentals)
- Managing and tracking direct and indirect event expenses
- Volunteer recruitment and management (External Partners)
- Managing and updating internal database systems
- Supporting fundraising directors with day to day administrative tasks
- Helping to manage top sponsor proposals and deliverables and working with key volunteers within those partnerships
- Cataloging and developing materials that pertain to top sponsor prospecting and reporting
- Managing smaller events around such as World Stroke Day, the Fit-Friendly Symposium, and the Heart Heroes send off with the support of other team members.
- Recruiting, training and managing logistics volunteers. Building relationships with logistics volunteers and providing consistent communication to ensure volunteer retention.
- Supporting the Walk Directors with company reporting and planning documents during the high-volume Heart Walk season.
- Supporting the Walk Specialist with logistics around the 35,000 persons walk
- Managing day-of creative materials for the Heart Walk
- Working with sponsors on day of activation and deliverables of the sponsorship
- Supporting the workplace wellness program application process
- In addition, this position participates in financial processing for the entire Metro Tampa Bay, team on a weekly basis.
- Administrative duties such as creating and preparing correspondence and meeting documents, mail opening, making calls to schedule meetings, etc.
Required Experience
- Fundraising experience preferred
- High School Diploma/GED, Bachelor's Degree (or equivalent combination of education and experience) preferred
- 1+ years of prior administrative and event planning and/or non-profit experience
- Ability to prioritize and handle multiple tasks, managing multiple territories simultaneously
- Attention to detail and drive for excellence
- Ability to recruit and train large groups of office and day-of-event volunteers
- Excellent verbal and written communication skills
- Excellent computer skills (Word, Excel, PowerPoint, Adobe)
- Knowledge of Social Media formats and content requirements
- Ability to work independently and sometimes irregular hours
- Ability to lift 20-30 pounds
- Willingness and ability to travel throughout the designated market on a frequent basis.
