Oversee Administrative support for the Services department, provide direct support for the CMO.
Areas of Responsibility:
- Create and maintain effective systems for managing supervising and contract physicians, including but not limited to: compliance and complication data, completion of required activities and centralized scheduling
- Act as the research coordinator for all studies. This includes but is not limited to: serve as the liaison with study sponsors as potential studies are being considered and negotiated, prepare all necessary paperwork for final signatures, coordinate staff training for research studies, monitor study performance and communicate with sponsors during the study, update and ensure compliance with research SOPs, prepare invoices and allocate study payments.
- Highlight, research, analyze and recommend action items when appropriate (e.g. infectious disease outbreaks, critical drug shortages, medical services updates from PPFA)
- Assist in the completion of reports and preparation of grant proposals. Collect and tabulate services statistics for reports (e.g. annual complication reports). Provide data analysis for designated reports, including quality management audits.
- Manage the annual review and maintenance of medical policies, procedures and protocols
- Provide administrative support to the Chief Medical Officer, with administrative duties including but not limited to scheduling meetings and travel, managing correspondence, briefing materials and recording meeting minutes.
- Establish, maintain, and promote smooth working relationships with teammates by overseeing the overall culture and moral.
- Serve as a bridge to universities, government entities,associations, vendors and the general public.
- Prepare correspondence and internal documents including processing of sensitive personnel or patient complaint records and information.
Non-Essential Duties
- Work with/supervise volunteers/interns as appropriate.
- Perform other administrative duties as assigned.
Educational Background:
Bachelor’s degree
Skills/Experience:
- Minimum of three years in an administrative or program management position
- Health care experience preferred
- Excellent organizational skills and ability to initiate work and set priorities independently;
- Excellent writing, editing, and communication skills, with attention to detail and accuracy;
- Intermediate to advanced proficiency in Microsoft Office, including Microsoft Word, Outlook, PowerPoint and Excel;
- Ability to maintain composure under pressure and to be flexible;
- Ability to balance multiple demands in a fast paced environment;
- Ability to relate professionally and provide excellent customer service to Planned Parenthood staff and the public;
- Ability to maintain confidentiality.
