The American Heart Association (AHA) has an excellent opportunity for a Sr. Grants Administrator at our National Center office located in Dallas, TX (Remote/Home Based is acceptable).

The Sr. Grants Administrator is responsible to ensure excellence in preparation, implementation, monitoring, management and reporting for multiple grants within an assigned portfolio. Grants assigned are typically awards above $500,000 and/or complex in nature.

The Sr. Grants Administrator contributes valuable services before award, during fulfillment, and beyond; resulting in an exceptional grant maker experience and advancement of our mission. The Grants Administrator will collaborate with staff to ensure timely completion of all grant deliverables, will monitor budgets to ensure appropriate and on schedule grant spending, and will be responsible for presentation-ready internal and external reports.

The position will serve as the lead for all implementation communication and reporting, ensuring that all internal partners are working with the most current information. The position will also partner with executives and major gifts staff for relationship stewardship and as a resource for development of future grants. The Sr. Grants Administrator may serve as the day-to-day information contact for grant makers, as determined by major gift staff, with the priority being the greatest level of effectiveness with the grant maker.

Areas of Responsibility: 
  • During the proposal stage, contributes to the development of budgets, grant implementation plans, outcomes/deliverables, that would later require monitoring/reporting.
  • Post-award, integrates grant requirements into program and monitors processes. Develops and maintains internal records and systems to support program management. Monitors budgets and spending, collaborates with financial management staff; responsible for all budget reporting, including forecasting and reporting on variances. Coordinates work with key internal stakeholders within and across staff functions including but not limited to finance, quality and systems improvement, multicultural initiatives, research, mission advancement, advocacy and communications staff. Ensures that activities function within the parameters of American Heart Association policy.
  • Responsible for developing timely, accurate and compelling program reports that communicate impact, results, and comply with donor reporting requirements. Delivery of reports will be conducted according to strategy, in collaboration with appropriate major gifts staff. Responsible for complete and accurate records oversight in BBCRM for assigned groups/teams, generating regular system reports on group/team plans, progress and results.
  • Responds to direct inquiries from donors and others with the highest level of accuracy, timeliness, and professionalism. Delivers information in person, mail, email or phone. Represents Mission Advancement at foundation funding information seminars as needed. Develops a strong working relationship with the program officer(s) and other grant maker representatives, in collaboration with major gifts staff.
  • Responsible to monitor and steward unsolicited foundation gifts as well as endowment funds assigned, conducting research and initiating contact with the donor (if unassigned to other staff), providing an appropriate level of reporting, and setting the stage for renewal.
Educational Background: 
Bachelor’s Degree
Skills/Experience: 
  • Minimum of five (5)years of relevant experience.
  • At least 5 years of experience in the following:
  • budget development and management
  • project management
  • reporting and correspondence
  • A least 3 years of experience in the following
  • Working with Grant outcomes and deliverables
  • Grant management
  • Leading collaborative teams
  • Must be able to travel overnight approx. 10% of the time.
