The Grants Specialist serves on the affiliate’s Resource Development team and is responsible for developing and managing all grant and foundation funding sources in support of existing and planned program activities. The position manages the eTapestry donor database entering all donor gifts and generating timely donor acknowledgement letters. Assists Resource Development office with special events, capital campaigns and other fundraising activities.

Areas of Responsibility: 

Grants Development and Management

  • Create strategic and compelling funding requests from a variety of sources (federal, state, HFHI, etc.) that drive organizational growth and align with grantor priorities
  • Work with program staff to ensure grant outcomes are thorough, accurate, mission-aligned, and achievable
  • Manage all phases of grant life cycle including research, application, and reporting
  • Monitor grant calendar to track proposal and deliverable deadlines for each grant and/or funder. Manage workflow and timing of submission to ensure deadlines are being met and resources are appropriately leveraged in accordance with need.
  • Assist in determining cash flow projections and grant reconciliations
  • Responsible for collecting, analyzing and reporting data on the performance of program activities funded through grants
  • Create and maintain grant matrix with boilerplate, narratives, testimonials, local and HFHI data, third party research, summaries, etc.
  • Partner with staff, auditors and other stakeholders as necessary to assess and manage any potential risk to the organization

Donor Database Management

  • Collect, sort and identify, enter daily gifts accurately into donor database
  • Process donations, donor letters, and database reports in a timely manner
  • Coordinate with Finance to ensure reconciliation; maintains pledge records

Development:

  • Build and maintain positive relationships with all supporters including local, state and federal funders
  • Assist as needed with marketing and communications efforts
  • Identify, develop, and steward current and prospective donors relating to grants and foundations
  • Assist with special events, capital campaigns, planning and event execution, etc.
  • Engages in public speaking opportunities to promote the organization
  • Perform other essential administrative and accounting tasks and duties
Educational Background: 
BA/BS Degree required
Skills/Experience: 
  • Excellent computer, database management and technical skills; able to manipulate and manage data
  • Performance-driven attitude with ability to assist in the development and achievement of goals and milestones
  • Ability to manage multiple priorities
  • Ability to work independently and in a team environment with strong communications, administrative, organization, and interpersonal skills
  • Excellent administrative, administrative and interpersonal skills
  • Ability to foster a trusting and respectful environment; maintain confidentiality
  • Ability to work in an office with frequent interruptions
  • Able to work some evenings and weekends
  • Valid Virginia operator’s license with good driving record
  • Minimum of 3-years experience developing and managing grants
  • Financial and/or administrative experience in support of grant proposal submission and administration
  • Excellent written and verbal communication skills
  • Proficient in research, interpreting, and analyzing diverse data
  • Able to work collaboratively and independently to achieve stated goals
  • Experience working for a non-profit organization highly preferred
  • Experience in managing HUD grants a plus
  • Any equivalent combination of experience and training which provides the required knowledge, skills and abilities

PHYSICAL REQUIREMENTS

  • Work at a desk and computer for extended periods of time; occasional exposure to extreme temperatures.

WORK ENVIRONMENT

  • The work is primarily performed in an office environment with occasional travel to construction sites and other locations.
