Early Learning Washington County Coordinator

To support United Way’s coordination of the Early Learning Washington County (ELWC) Hub. Provide administrative, computer, database, and project management support to the ELWC staff and partners, including providing a high degree of accuracy and thoroughness in calendaring meetings, conference calls, and appointments.

Areas of Responsibility: 

Administrative Support and Coordination: 40%

  • Coordinate and support United Way’s involvement in and coordination of the ELWC Hub
  • Provide administrative, computer, database, and project management support to ELWC staff, including providing a high degree of accuracy and thoroughness in calendaring appointments, meetings, and conference calls, which are sometimes complex in nature
  • Responsible for calendar management for the ELWC staff, and partners as necessary
  • Reconcile travel and expense reports, credit card reconciliations, and expense reimbursements
  • Track ELWC Hub expenses
  • Coordinate logistics for events and trainings
  • Work with the Human Resources Administrative Coordinator to make conference and travel arrangements for team members when necessary

Liaison to ELWC Hub: 20%

  • Serve as a liaison between team members, all levels of management, community stakeholders, volunteers, and vendors
  • Coordinate activities between departments and/or outside parties

Contract Management Support: Correspondence, Document,   and Report Preparation: 20%

  • Prepare timely correspondence, analyses, presentation materials, and reports
  • Create and format Excel spreadsheets and PowerPoint presentations
  • Conduct research and serve as a resource to the ELWC Hub
  • Work with informational database processes and procedures; identify and communicate process and system improvements in a fast-paced operating environment
  • Drafts and tracks independent service contracts. Process invoices
  • Ensure that all materials are accurate and have a quality appearance

Internal Collaboration: 10%

  • Build trusting and strong relationships
  • Coordinate cross-department projects, and serve on integrated staff teams assigned to cross-departmental function projects
  • Coordinate team-building and other staff-related activities

Handling Inquiries: 10%

  • Handle information requests, problem-solve, initiate solutions, and follow-up
  • Respond to routine and non-routine inquiries, referring unusual or complex inquiries to the Early Learning Senior Manager – Washington County

Adaptive Problem-Solving and Support: Daily

  • Approach problems with a systems-level perspective
  • Provide responsive, courteous assistance to internal and external stakeholders

Culture and Diversity: Daily

  • Maintain an overt culture and diversity lens in all Early Learning work

Ad Hoc Duties: Daily

  • Coordinate meeting arrangements; prepare meeting agendas, materials and minutes; and provide general support for volunteer committees, advisory and/or governing bodies, stakeholder meetings, staff meetings, and project teams, as applicable
  • Prioritize and manage multiple projects simultaneously, meeting established timelines
  • Willingly perform a variety of tasks and help create solutions to support department activities
  • Perform all duties with a high degree of skill, accuracy, and confidentiality

Performs other duties as assigned by the Early Learning Senior Manager

Educational Background: 
Bachelor’s Degree; or a comparable combination of experience and education
Skills/Experience:

Education, Skills, Experience, and Training Required for this Position:

  • Minimum three years related nonprofit, project coordination, and administrative experience preferred;
  • Bilingual Spanish/English required.
  • Knowledge and understanding of the Latino/Hispanic culture and a demonstrated ability to work effectively with individuals within this community are required.
  • Proven ability to take initiative and be creative in thinking and solutions, to think strategically, and to execute on plan

Technical Knowledge:

  • Intermediate to advanced computer skills with emphasis on Microsoft Office programs, including Outlook, Work, Excel, and PowerPoint
  • Database management experience
  • Ability to adapt to changing office technology

Physical Requirements:

  • Work is primarily performed indoors, within an open office setting with a moderate noise level and occasional exposure to scents.
  • Frequently required to sit/stand at computer in a stationery position.
  • Frequently operates a computer and other office productivity equipment, such as copy machine, printer, phone, and fax machine.
  • Frequently required to move about inside the office for meetings, access to information, office equipment, etc. and to move chairs and tables for room set-up.
  • Frequently required to travel outside the office to coordinate meetings in other office and indoor settings. Occasionally required to transport meeting materials and supplies. Work frequently involves lifting up to 25 pounds, reaching, carrying, and bending.
