The Database Manager serves as the administrator and organization-wide expert on the customer relationship management database, builds and customizes the digital fundraising sites for campaigns, ensures the documentation and compliance of technology practices, and participates as the technical lead in United Way Worldwide Digital Service initiatives. The successful execution of data and technology strategies is a critical driver for the organization’s ability to meet community needs and advance Thrive2027 (www.thrive2027.org). The position reports to the Senior Vice President of Technology and Operations. 

Areas of Responsibility: 

Application Support & Database Management

  • Serves as the central contact and support specialist for the database and CRM vendor, including managing the hosting vendor.
  • Oversees and manages the Andar database with respect to data quality, strategic use and new opportunities to enhance workflows with development of new features.
  • Works with vendors & staff to ensure optimum use of core business applications including Andar & ePledge.
  • Works with application vendors to evaluate changes to software, implement updates, and conduct user training.
  • Assesses technology skills of staff, evaluates training needs relative to required skills for each position, and develops on-going training programs to enhance skill development.
  • Conducts and/or supervises end-user training & support and communicates with staff regarding changes in software and operations. 
  • Designs and implements tracking and reporting solutions to mine the database for stakeholder measurement and analysis of donor, volunteer and advocacy activity. 

Annual Campaign Support

  • Serves as the technical project manager for digital fundraising campaigns ensuring website template design is complete, employee data files are accurate, emails are successfully sent and website performance is monitored. 
  • Works with the SVP of Technology and Operations to respond to donor organization compliance, security and physical asset audits.
  • Works with external vendors, and donor organizations when necessary, to build website templates, ensure all client specifications are accurate, review data and troubleshoot performance issues.
  • Identifies process improvements related to the technical aspects of digital campaigns.
  • Assists in researching and in resolving receivable (pledges) inaccuracies. Ensures data integrity is maintained when entered into the Customer Relationship Management (CRM) database. Leads post-campaign database clean-up and technical process improvements. 

Support New Technology Initiatives, Risk Management and Existing Vendor Relationships

  • Participates in new technology research and evaluation in the external market, with existing contracted vendors and through United Way Worldwide.
  • Acts as the technical liaison for Salesforce.com and the UWW Digital Services initiative. 
  • Manages contracts, software licenses and vendor relationships for the organization.
  • Supports community impact data initiatives as needed. 
  • Ensures documentation for the information technology handbook, the disaster recovery and security incident plans and any other risk management documents. 
  • Provides and coordinates training for all staff on the primary applications, orients new employees and establishes secure information technology practices.
  • Works with the support vendor and other staff to perform the maintenance, data backup, upgrades, protocols and security of most applications in the organization, including printers, phones, copiers and cell phones.

  • Willingness to work with staff and vendors to address technology support issues as they arise.
  • Other duties as organizational needs dictate.
Educational Background: 
Knowledge of information technology systems management equivalent to completion of a Bachelor’s degree and 5 years of related experience or an equivalent combination of education and experience.
Skills/Experience: 
  • Commitment to the mission of United Way of Greater Portland.
  • Experience managing a database or CRM application
  • Excellent teaching and communication skills.
  • Enthusiasm for finding ways to improve how people work with data.
  • Structured approach to problem solving. 
  • Ability to understand and champion technology’s role in United Way’s strategic direction.
  • Ability to prioritize and handle multiple projects simultaneously; good organizational skills.
  • Must be authorized to work in the United States.

Preferred Experience

  • Data analysis experience preferred
  • SQL querying skills preferred
  • Working with a nonprofit or educational organization as a staff member or volunteer preferred
Additional Information: 

This is a full-time exempt position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. Occasional work outside of these hours may be required.
