The Payroll Coordinator is a financial position reporting to the Associate Director, Accounting and in our Philadelphia Office.  The position’s primary responsibility is the processing of payroll and the recording of payroll and the related benefits data into the United Way’s accounting system.  This position will interact with Human Resources in providing information needed for various regulatory filings and other reporting requirements.  The work is often confidential in nature.  

Areas of Responsibility: 

ESSENTIAL FUNCTIONS & CORE RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:     PAYROLL (35%)

  • Review the online employee timesheets on a bi-weekly basis for accuracy and completeness.  Download the hours reported on the system into ADP for payroll processing.  Create other earnings and deduction batches.  Complete the payroll submission process; review the payroll preview with the Director of Finance and approve the payroll.  
  • Prepare the funding transfer on a timely basis.
  • Set up new hire access to timesheets and access to ADP pay statements.
  • New hire reporting to Commonwealth of Pennsylvania and State of New Jersey, as applicable.
  • Quarterly local tax withholding filing, as applicable.

ACCOUNTING (45%)    

  • Prepare benefit journal entries and quarterly vacation accruals for entry into United Way’s accounting system.  Update employee department/program allocation as needed for benefit calculations.
  • Support the annual audit requests related to payroll and benefits.
  • General ledger account reconciliations for benefit withholding accounts.
  • Review of weekly Accounts Payable invoice voucher processing for accuracy.  Act as backup 
  • for Accounts Payable invoice entering, as needed.
  • Other related accounting procedures and processes, as needed.

BENEFITS (20%)

  • Prepare the calculation of the 403b plan match on a per pay basis in a timely manner for submission and funding to the plan administrator.
  • Timely funding of FSA, HSA, commuter benefits, and life insurance deductions and premiums.
  • Review benefit invoices (medical, dental, vision, life insurance, long-term disability, and voluntarily elected benefits) for reasonability identifying any discrepancies and working with Human Resources to resolve issues.
  • Calculate and record 403b plan discretionary contributions on a monthly basis.  Reconcile calculation annually in conjunction with 403b annual discrimination testing.  Fund the discretionary contribution before March 31 each year.
Educational Background: 
Associate Degree
Skills/Experience: 
  • Demonstrates required skills or experience on core competencies in accordance with the UWGPSNJ Competency Framework.
  • Associates Degree or higher desired 
  • A minimum of five (5) years of payroll experience, ADP experience preferred
  • ADP Workforce Now, MIP accounting software, Microsoft Office products
  • Ability to work independently
  • Ability to multi-task

  • Good communication skills
  • Express a positive attitude to all customers
  • Adaptable to changing environments
