Provide administrative support, greet and guide guests to the appropriate places, maintain appropriate procedures, guidelines, and staff calendars, answer general donor inquiries, and support pledge processing and quality audits.

Areas of Responsibility: 

Essential Duties and Responsibilities include the following.

  • Provide front desk support to include manning the front desk on a daily basis. Greet all visitors and direct them to the appropriate contacts within the organization, (e.g. 211, Court Referral, staff).
  • Maintain the visitor appointment calendar and notify staff of meetings and expected VIP guests for the next business day.
  • Maintain the Court Referral calendar of appointments and distribute any necessary material to court referral visitors.
  • Document and maintain the Front Desk procedures, guidelines, and the staff vacation calendar for Operations in Outlook.
  • Document and maintain the UWM Staff Directory (the departmental listing of all staff members) in excel document.
  • Answer general inquiries from the public, if possible, or transfer call to appropriate staff person.
  • Perform pledge processing throughout the year as needed.
  • Maintain the budget, reporting, and purchasing of supplies for the organization.
  • Proof/close campaign envelopes to insure accuracy of data being added into ANDAR.
  • Responsible for archiving and maintaining an inventory of historical documents for UWM.
  • Recognize weekly the following week's birthdays/anniversaries/new employees on SharePoint.
  • Handle and process daily mail to include tracking incoming checks and providing information to Finance for audit/deposit purposes.

HR Duties:

  • Proof job descriptions before posting opening to various websites.
  • Work with Senior Director - Human Resources to post/remove job openings on various web sites.
  • Process new employees I-9's through the e-verify process.

Marginal Duties and Responsibilities:

  • Provide assistance to the organization in the assembly of packages for mailings to donors.
  • Provide assistance to the Finance and Resource Development departments as needed for administrative functions, and perform adjustments as needed.
  • Perform administrative support duties for the SVP, Marketing and Communications and the marketing team.
  • Other duties as assigned.

Supervisory Responsibilities:

  • This job has no supervisory responsibilities.
Educational Background: 
Associate's degree or equivalent from two-year College or technical school
Skills/Experience: 

Experience:

  • Six to twelve months related experience and/or training.

Certificates, Licenses, Registrations:

  • None

Complexity of Duties:

  • Routine duties involving use of various procedures and application to clearly prescribed standard practices which require the making of minor decisions and use of some judgment as to the method of performance.

Supervision Received:

  • Under general supervision, proceeds alone on regular duties, referring questionable cases to supervisor or others.

Errors and Quality of Work:

  • Probable errors or quality of work problems usually detected in succeeding operations and generally confined to a single department or phase of organization activities. Most of the work is verified or checked. Corrections may involve back-checking by others.

Language Skills:

  • English proficiency sufficient for communication with supervisors, co-workers, clients and customers. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

  • To perform this job successfully, an individual should have knowledge of MS PowerPoint Design software; MS Excel Spreadsheet software and MS Word Processing software 

Other Qualifications: 

  • Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside.
