Accounting Specialist

The primary responsibility of this position is to be a part of and to support the accounting team, as well as provide accurate data entry in various systems for gift processing and accounts payable.  Daily duties include recording gifts, proper application of pledge payments, daily electronic bank deposits, and accounts payable preparation.  Support for the accounting team will include assistance with month-end reconciliations, journal entries, report preparation, agency designation payments, and other projects as requested.  Work closely with the Advancement team to ensure timely and accurate processing of donor gifts.

Areas of Responsibility: 

Campaign Pledge and Gift Processing

  • Enter all donor pledge/gift detail from pledge forms and upload data received from the Advancement Department into the CRM database
  • Ensure gift processing is timely and data entry is accurate, including payment schedules, designations, and verification of donor information any necessary updates
  • Work collaboratively with the Advancement Department regarding pledges and gifts
  • Create accurate donor and agency profiles in CRM database and accounting system for new donors and designated agencies
  • Process all noncash gifts, including stock gifts

Reconciliation

  • Prepare gift reconciliations with bank deposits in accordance with documented procedures
  • Reconcile credit card gift and other payment transactions to ensure all credit card activity is recorded on donor records
  • Work collaboratively with the Advancement team to address questions and continually work to increase gift processing and reporting efficiencies
  • Review and match payments to Donor Pledges, for accurate and timely processing of donor records

Deposit Processing

  • Code donor contribution payments and deposit checks to TUW bank account via remote deposit capture
  • Work with the Advancement Team to resolve any questions that may arise during the deposit process; regarding payment identification and application to donor records
  • Document and update exception items and all outstanding items until resolved by the team

Accounts Payable

  • Collaboratively monitor the finance email for invoices and other related accounts payable activities, including emailing remittance advices back upon electronic payment of invoices
  • Review signatures and coding on all invoices and reimbursements submitted by vendors and staff, request additional documentation, approval signatures, and receipts as necessary
  • Prepare accounts payable entries and maintain vendor records in accounting system (Blackbaud Financial Edge NXT)
  • Manage, reconcile, and record internal credit card transactions monthly and work closely with cardholders to ensure complete and accurate records

Accounting Support

  • Prepare recurring journal entries and documentation
  • Prepare monthly departmental reports
  • Assist with annual audit
  • Assist with quarterly agency designation payout process and documentation

ADDITIONAL RESPONSIBILITIES

  • Cross-train with finance associate
  • Focus on continuous process improvement; increasing efficiencies
  • Document processes; continually update process documentation
  • Participates as a champion, project lead, and/or member of organizational development teams as required
  • Assist with other Finance and TUW tasks and projects as needed
Educational Background: 
High school diploma with 7+ years of experience – preferably in a non-profit donor-centric environment
Skills/Experience: 
  • Associate Degree in Accounting with 5+ years of experience preferred - preferably in a non-profit donor centric environment
  • Or some other combination of education and experience in accounting and finance related fields
  • Minimum of 2 years’ experience in accounting
  • Minimum of 2 years of data entry experience
  • Minimum of 2 years’ experience with CRM’s, preferably Andar
  • Familiar with month and year end close procedures
  • Ability to collaborate with peers and management and demonstrate exceptional judgement and a high degree of professional maturity
  • Strong team player, and a self-starter with a strong work ethic
  • The ability to identify problems, gather information sufficient to formulate solutions, and apply technical knowledge in solving problems
  • Excellent oral and written communication skills with the ability to compose written communications free from spelling or grammatical errors to internal team members and external constituents
  • Ability and willingness to work under pressure to resolve unexpected and unanticipated issues
  • Demonstrate a positive attitude in the face of challenges
  • Possesses strong problem-solving skills; able to collect, analyze, and interpret data
  • Capacity to use available time to organize and complete work within given deadlines
  • Strong organizational skills with attention to detail
  • Skilled in basic accounting principles resulting in accurate entries/results
  • Dedication to learning, improving processes, and following action items through to completion
  • Ability and dedication to protecting confidential information
  • Ability to work in a fast-paced environment with changing priorities and diverse responsibilities
  • Ability to quickly learn and develop proficiency with various online systems
  • Skilled in the use of Microsoft Office products, with advanced knowledge of Excel

PHYSICAL DEMANDS OF JOB

  • Exertion of up to 20 pounds of force occasionally, and/or a negligible amount of force constantly to move objects, within the office setting and relating to the position
  • Must frequently use typical office equipment (telephone, multifunctional devices, postage meter, etc.)
  • Most of time spent sitting at desk
  • Communicates with constituents, staff, volunteers, board members and/or partners by phone and in person
  • May have to occasionally be mobile within the office and or travel to offsite locations
Compensation/Benefits: 

Salary: $31,000 to $40,000 per year
