Summary:

Under the direct supervision of the Parents As Teachers (PAT) Lead - STARR , and indirect supervision from the Texas Home Visiting Program Coordinator, the Receptionist/Clerk is responsible for assisting with processing and maintaining all PAT home visiting data accurately and timely.

Basic Responsibilities:

1. Presenting the professional image of the organization.
2. Scheduling appointments, typing memos, answering inquiries, generating and maintaining databases and accumulating various reports.
3. Use computer skills which are of word processing, desktop publishing, database generation/maintenance etc.
4. Knowledge of the computer operating system’s tools is important.
5. Look after the office supply inventory and restocking of items.
6. Answering to supervisors, operating officers, administrators etc regarding the way in the daily operation of office is carried out.
7. Coordinating the office functions in order to ensure that they are fulfilling and helping their duties according to Easterseals RGV in the smooth operation of office business, including meetings.
8. Maintaining all important office records in a proper manner in order to ensure that future reference is possible.
9. Controls all mail distribution for the Starr County facility.
10. Maintains Easterseals RGV information material as required, including but not limited Easterseals Posters/Frames, Flyers, etc..
11. Professionally administer all incoming calls, ensure phone calls are redirected accordingly.
12. Greet guests in a professional, friendly, hospitable manner.
13. Perform a variety of general clerical/administrative duties.
14. Excellent phone etiquette.
15. Excellent verbal communication skills.
16. Punctual Able to work with minimum supervision.
17. Assist with other support service related duties when staff are out of the office due to home visiting or as directed by the THV Director.
18. Serve as a translator for the organization as needed.
19. Assist in Community Outreach Programs as directed.
20. Assist in Fund Development activities as requested.
21. Promote safety in the organization for staff, visitors and clients of Easterseals RGV through following Safety Precautions and Procedures as outlined in the Safety Manual.
22. Promote a positive image through manners, dress, attendance and attitude.

Qualifications:

• High School graduate or equivalent
• One year in a receptionist and data- entry experience. 
• Proven experience and comfort level with computer usage.
• Good communication skills, both verbally and written, with proven comfort level communicating with public.
• Good time management skills, excellent follow through abilities and detail oriented.
• Ability to work well with others and in a team environment.
• Bilingual capabilities desired.
