The Administrative Assistant is responsible for coordinating office operations, and supporting the Executive Director to implement United Way of Wisconsin’s new strategic plan.
Areas of Responsibility:
Executive Director Support
- Provide support for quarterly board meetings.
- Assist with member requests for operational data including developing and administering surveys as well as compiling, analyzing and interpreting results.
- Assist with data analytics and meeting preparation related to state wide coalition and stakeholder meetings
- Collect information and draft reports, analysis and presentation slides
- Assist in statewide marketing initiatives.
- Implement communication strategies including content management, list serves and newsletters.
- Is required to preserve the confidentiality of discussions and/or privileged information;
Office & Project Support
- Liaison to accounting, audit and other contract services including preparing deposits for UWWi and 2-1-1, check requests, expense tracking, and creating invoices
- Assist Project Managers with basic administrative tasks including meeting planning, copying, filing, making packets, and faxing documentation.
- Assist Project Managers with research and information compilation.
- Maintain office equipment and supplies.
- Assist in maintenance of office records.
- Answer phones and route calls when appropriate.
Other duties as required
Educational Background:
BA degree preferred
Skills/Experience:
- Three years of performing similar duties or equivalent.
- Able to complete multiple tasks, be flexible, establish priorities, meet deadlines, and adapt to a changing work environment.
- Must exhibit high degree of initiative, be self-directed, and deadline driven.
- Strong creative thinking skills.
- MS Office Skills including experience using Excel, PowerPoint, Word, and Outlook.
- Experience using business analytic tools such as Domo, Tableau or ability to learn or aptitude to learn.
- Familiarity with accounts receivable/payable and other basic bookkeeping tasks.
- Excellent interpersonal skills with the ability to work in direct relationship with a diverse group of individuals or organizations in an effective manner.
- Social media and marketing experience, desired
- Excellent attention to detail and proofreading skills
- Prior non-profit or AmeriCorps experience is preferred, not require
Compensation/Benefits:
Salary: $31,000 to $40,000 per year
