The Sponsorship Community Coordinator, under the supervision of the Director, Child Sponsorship, will liaise with the Sponsorship Community Specialist and the Sponsorship Operations Coordinators, to ensure that are that all aspects of Sponsorship operations are implemented with fidelity and in line with all internal and external standards, policies and procedures; thereby maintaining accountability to child beneficiaries, families, sponsors, and Global Sponsorship Operations. The Community Coordinator’s responsibilities include supporting the Sponsorship Community Specialist, with organizing logistics for trainings, supporting the Specialist with organizing training materials and informing her of any potential risks or issues. The Sponsorship Community Coordinator is critical to ensuring a best-in-class Sponsorship operation and cultivating meaningful relationships between sponsors and children.  This role will support the execution of correspondence processing and child information management, serving as a gatekeeper for child safeguarding, sponsor satisfaction, and compliance with Global Sponsorship Policies and Procedures.

The position holder reports to the Sponsorship Director and actively represents Save the Children’s core values of Accountability, Ambition, Collaboration, Creativity, and Integrity.

Areas of Responsibility: 

Community Liaison Support

  • With the oversight of Sponsorship Specialist, support the development of an onboarding process for new Sponsorship Liaisons
  • Support the development of community trainings, resources and materials, ensuring information is delivered in line with Sponsorship standards
  • Coordinate and organize all logistics for in-person and online training sessions
  • Provide information to Sponsorship Specialist, on technical assistance needs for Sponsorship Liaisons during enrollment and update campaigns
  • Collaborate with the Community Specialist to develop approaches for support and technical assistance when needed
  • Engage and motivate Liaisons to meet enrollment and update goals and to be accountable for meeting deadlines, achieving objectives and working within compliance of all applicable policies and procedures

Operations Support  

  • Report to Sponsorship Specialist the operational needs of partners and assist in arranging support, which may include assuring the availability of appropriate computer and information technology systems, software, photography equipment, community campaign kits, and replenishing correspondence supplies
  • Receive, track and organize submissions of 30 Day Letters, from Sponsorship Liaisons, and forward as needed to Sponsorship Operations Coordinators
  • Communicate to Sponsorship Specialist the status of 30 Day Letters on a weekly basis.
  • Support with the collection and documentation of sponsor correspondence, ensuring compliance with Child Safeguarding protocol and Sponsorship policies and procedures
  • Support the tracking, review, processing, and disbursement of all child-to-sponsor correspondence
  • Ensure that child correspondence is of high quality, legible, and represents the voice of the child. Identify areas for improvement and communicate any issues with the Quality Communications Specialist
  • Maintain electronic copies of child proactive letters, routine correspondence, and 30-day letters and ensure files are complete and up-to-date
  • Review all materials to ensure child safety standards are met and notify Community Specialist of any inconsistencies or policy violations

Child Information Management

  • Prepare and distribute all necessary community materials for all child enrollment and update campaigns
  • Receive, review, track, and accurately process child enrollment and update materials
  • Ensure all photos meet sponsorship photo quality standards and identify areas for improvement/communicate any issues with the Quality Communications Specialist
  • Assist with child record maintenance, both in hard copy and in electronic storage, adhering to all required policies and participating in annual self-assessments and file audits

Continuous Improvement and Special Projects

  • Participate in and support Continuous Improvement projects within the department
  • Support the development of new processes and drive operational efficiencies
  • Contribute to procedure manual updates to ensure all material is timely and relevant to most current internal processes
  • Complete special projects as they arise and other duties as needed
Educational Background: 
High School degree required, Bachelor’s degree preferred
Skills/Experience: 
  • Minimum of 2-3 years of professional administrative, clerical and/or data entry experience
  • Proficient use of Word, Excel, Publisher, PowerPoint and Outlook with experience working within and reporting from databases, creating mail merges, and utilizing basic office equipment
  • Highly self-sufficient with demonstrated ability to learn new processes quickly and complete work with excellent accuracy
  • Calm and poised in the face of change or unexpected challenges, capable of solving problems in a fast-paced, dynamic and rapidly changing environment
  • Able to interpret and implement established policies and procedures and to recommend changes when appropriate
  • Strong interpersonal communication skills; professional, proactive, and responsive customer-service approach
  • Demonstrated organization and task completion skills; ability to effectively manage multiple priorities in a timely, resourceful, and comprehensive manner
  • Experience supporting or co-facilitating training
