Under the supervision of the Director, Community Investments & Evaluation, the Grants & Program Data Manager will support Orange County United Way’s (OCUW) FACE 2024 2.0 and United to End Homelessness (U2EH) goals and strategies, as well as manage grants administration and evaluation systems. The incumbent will administer grant applications and reporting; coordinate grant compliance and targeted capacity building support for FACE 2024 2.0 AND U2EH funded and prospective partnerships. This position is full-time (37.5 hours/week).

Areas of Responsibility: 

Grants Management & Administration:

  • Manage all day-to-day grant related processes from the development of any new requests for proposals, to executing grant agreements and monitoring grantee progress.
  • Design and build grant application and reporting mechanisms to support FACE 2024 2.0 and U2EH goals, objectives, and strategies.
  • Serve as staff lead on the online grants management system: to inform, train, and manage all aspects of grant and contract administration to grantees and staff.
  • Review all grant related reports and monitor work plans or scopes of work to ensure grantee progress of program objectives.
  • Review grantee budget reports to ensure integrity of grant funds.
  • Prepare and submit payment requests and ensure timely processing of grant payments.
  • Provide ongoing compliance monitoring, tracking and management of program data and project closeouts of internal and external grants.
  • Develop and facilitate grantee orientation and technical assistance workshops to grantees.
  • Establish/maintain system for collecting and tracking receipt of grantee progress reports on a monthly and quarterly basis.
  • Coordinate routine correspondence with grantees, applicants and others.
  • Prepare and distribute declination letters, grant agreements and award letters.
  • Coordinate the financial review, monitoring and other supportive activities needed for prospective and funded partnerships.
  • Manage the Financial Review & Audit Volunteer Committee.
  • Maintain copies of all invoices and payments to provide audit trail.
  • Prepare the financial review memos for the Community Impact Cabinet (CIC) meetings.
  • Assist with the development of new policies and procedures related to grants management, and make recommendations that affect existing policies, procedures, and practices.
  • Provide other administrative support to OCUW granting process.

Program Data & Evaluation:

  • Produce various periodic reports, graphs and charts to demonstrate impact on community investments tailored for internal and external audiences.
  • Research and prepare written reports via literature reviews and research on evidence-based programs or best practices that align with United Way’s Impact Area goals and strategies.
  • Assist with the development of OCUW’s Internal and external Scorecards.
  • Compile a variety of statistics and data from national, regional, or other public data sources (includes but not limited DataQuest, Census Bureau on population/county specific data, etc.).
  • Provide assistance in guiding OCUW’s Community Impact strategic plan, especially as it relates to grant-making practices.

Collaboration & Other Duties:

  • Participate as a team member in assigned project activities, and perform other tasks as assigned related to the Community Impact Division or the organization as a whole.
  • Attend internal and external meetings as assigned

Educational Background: 
Bachelor’s degree required (Master’s degree strongly preferred)
Skills/Experience: 
  • In business, or public administration is desired
  • Three-Five years of work experience relevant to job description.
  • Nonprofit service and familiarity with online grants management software/systems.
  • Experience collecting and analyzing data.
  • Demonstrated knowledge in research and evaluation design methodologies.

Employment Standards:

  • Excellent organizational skills and strong attention to detail.
  • Strong grammatical, punctuation and spelling skills.
  • Organizing and maintaining department processes and files.
  • Strong proficiency in Excel, Word, Outlook, and PowerPoint is required.
  • Experience with database systems and/or grants management software.

Physical Demands:

  • These physical demands are representative of the physical requirements necessary for an employee to perform the essential functions of the Grants and Program Data Manager. The employee is required to talk and hear. The employee is often required to sit and use their hands and fingers to handle or feel. The employee is required to stand, walk, and reach with arms and hands. Vision abilities required by this job include close vision. Ability to operate a computer keyboard, and lift files and reports. Exposure to glare from a computer.
