We are seeking a Senior Administrative Assistant to join our team in the Houston area. In this position, the Senior Administrative Assistant will serve as the primary point of accountability for administrative responsibilities assumed at the department level for Medical Services and provide operational support to health center/call center management, ASC leadership and clinical services. 

Areas of Responsibility: 
  • Aggregate, review and publish patient satisfaction surveys (including but not limited to Press Ganey performance) throughout the affiliate.  Maintain performance improvement plans and trend analysis across performance metrics.
  • Responsible for maintenance, revision and production of all Medical Services policies & procedures, manuals and forms (administrative management, state reporting forms, infection control, laboratory, medical policies & procedures, and pharmacy).
  • Provide administrative support to Health & Research Center Directors, Managers, and Assistant Health Center Managers with continuous quality improvement initiatives.
  • Coordinate the pick-up of hard copy patient medical records to be archived by third party vendor; handle invoicing and storage of digitized medical records when returned.
  • Support health center and ASC leadership in the revision/production of eCW forms, consents, reports and template management.
  • Coordinate and supervise logistics for Medical Services events, meetings, seminars and workshops.
  • Produce and publish minutes for all Medical Services leadership & operations meetings as well as all quality management meetings chaired by Medical Services leadership.
  • Accountable for the timely review, monitoring and reporting of all training/privileging of all licensed professionals in accordance with the Medical Services department guidance.
  • Maintain and update all Medical Services data published online to ensure reliability and validity.
  • Coordinate with the Administrative Service department to fill Health Center and ASC monthly form and brochure orders) and delivery of the orders.
  • Assist Health Centers with facility-specific requests and facilitate work orders with the facility department.
  • Data enter incidents into the Affiliate Incident Management system, including copying or printing of charts as needed.
  • Other duties consistent with the operational needs of the Medical Services department may be assigned by Senior Vice President of Medical Services.
Educational Background: 
Bachelor’s Degree; plus minimum of 5-7 years related experience.
Skills/Experience: 
  • Must have strong interpersonal and communication skills:  both verbal and written; and ability to relate to persons of diverse backgrounds.
  • Knowledge of business practices and protocols.
  • Ability to handle multiple priorities and skilled in project management.
  • Ability to independently solve routine problems and select solutions from a variety of established standards or procedures.
  • Ability to perform duties in a manner that exhibits commitment to providing quality service and continuous improvement.
  • Ability to function as a valued member of a service oriented team.

Computer Skills

  • Good working knowledge of all MS office applications as well as electronic health records:
