Performs data entry duties with specified databases from the collection of information from, but not limited to Specialist, Family Health Advocate, Instructional Coach, Coordinator, and Manager.  Responsible for recording and maintaining accurate, complete data in a variety of software systems in compliance with Head Start regulations.

Areas of Responsibility: 
  • Collect and enter program information, which includes, but is not limited to, demographics, health, nutrition, education, disability, mental health, family services, and safe environments.
  • Enter data into the following data systems: COPA, My Teaching Strategies, Smart sheets, and DataSay.
  • Prepare child/family binders for newly enrolled children.
  • Assist with hearing and vision screenings at sites.
  • Measure children’s heights and weights three times per year.
  • Print out growth charts and file in child/family binders.
  • Prepare list for nutritionist/nutrition consultant of children that are underweight, overweight, or obese; prepare informational letters for advocates to distribute to families.
  • Prepare monthly/weekly reminder letters for children who are due or overdue for physicals.
  • Monitor daily COPA attendance entry in COPA and follow up with sites.
  • Prepare monthly attendance percentage reports for individual children.
  • Assists the Continuous Quality Improvement Specialist to ensure the integrity of program data in COPA and My Teaching Strategies.
  • Assists in monitoring, tracking, and analyzing data monthly and works with partner site and site team to support continuous quality improvements in all content areas.
  • Discreetly handle (while adhering to confidentiality standards regarding children’s records) sensitive information pertaining to children and families.
  • Assist with the completion of the Program Information Report (PIR) in regard to data entry.
  • Assist in preparation of documents and reports as required by local, state, and federal monitoring procedures and regulations.
  • Create referral packets for children referred to Early Intervention/Local School District.
  • Assist with recruitment of all sites.
  • All other duties as assigned.
Educational Background: 
High School Diploma
Skills/Experience: 
  • Work collaboratively with others.

  • Work confidentially and with discretion.
  • Ability to follow rules, regulations, policies and procedures.
  • Perform duties such as filing and simple health records.
  • Complete assigned work without immediate supervision.
  • Computer proficient.
  • Data entry experience.
  • Health & Safety regulations.

Vehicle/Transportation Requirements:

  • Valid driver’s license.
  •  Auto insurance.
  •  Reliable vehicle.
