We are searching for a part-time Marketing Communications Administrative Assistant, (25 hours/week) who is a critical thinker, self-starter, confident, and enthusiastic to be part of our United Way team located in Hartford.

As the Marketing Communications Administrative Assistant you will be responsible for, administrative functions for the department. This includes supporting the implementation of communications strategies, updates to website content, collateral and year-round traditional and digital communications, and events.

Areas of Responsibility: 
  • Performs administrative support tasks including, but not limited to, simple web site updates, organizing press clippings, scheduling meetings, and filing.
  • Provides event support, including preparation and on-site assistance.
  • Provides support for support for e-communications including but not limited to requesting and uploading mailing lists, scheduling e-blasts and basic design.
  • Assists with updating website content and social media postings including adapting content from other print materials to an e-communication or social media.
  • Coordinates photo and digital image process for organization.
  • Assists with simple designs of print and electronic collateral.
  • Coordinates support services and serves as liaison to external vendors as needed.
  • Prepares invoices for payment; monitors budget status.
  • Monitors organization’s general email and responds as appropriate.
  • Becomes proficient in organization’s customer relationship management tool, serving as department’s representative to internal user group and training new staff as needed.
  • Assists with front desk/receptionist duties as assigned.
  • Attends internal and external meetings as required.
  • Performs other duties as needed.
Educational Background: 
Associate’s degree in administrative services or related field.
Skills/Experience: 
  • Two years’ experience in administrative/office management capacity, preferably in communications, marketing, public relations or related disciplines.
  • Demonstrated experience with updating basic website content (ex., WordPress) and basic email marketing tools.
  • Proficiency in Microsoft Outlook, Word, and Excel and customer relationship management software.
  • Ability to work with internal and cross-functional teams.
  • Deadline and detail oriented.
  • Reliable transportation and valid CT driver’s license.
  • Familiarity with desktop publishing software (ex., InDesign, Illustrator, Photoshop), HTML and social media management experience preferred.
  • Editing and basic design experience, use digital/video cameras and video editing software preferred.
  • Flexibility with work schedule based on organization’s needs.
