Oversees and organizes donation (pledge) processing through staffing, auditing and archive scanning. Maintenance of CRM database and data entry of “special handling” pledges Grand Rapids.

Areas of Responsibility: 
  • Oversees pledge processing
  • Recruits, trains and schedules temporary staff for data entry and archive scanning
  • Prioritizes and organizes pledge envelopes for data entry
  • Data entry
  • Audits data entry by temporary staff
  • Archive scanning
  • Answers staff questions regarding current or past pledges.
  • Data entry of all “Special Handling” pledges for Grand Rapids (major gifts)
  • Data maintenance and clean-up of donor data prepare files for upload.
  • Works with Resource Development staff on entering additional biographical data.
  • Works closely with Finance staff in maintaining designation portion of database and designation processing.
  • Generate standard campaign reports.
  • Monitor Donor ePledge LiveChat.
  • Create basic ePledge online giving platforms for workplace campaigns not requiring customization.
  • Works closely with CRM and Donors Services Manager on developing and maintaining all data standards and protocols.

Direction of Others:

  • Directly supervises temporary Data Entry staff.

  • Ability to work independently with minimal supervision.
  • Moderate level of analytical skills.
  • High level of attention to detail.
  • High degree of confidentiality.
  • High degree of stress during Campaign time (Sept-Jan) due to increased workload.

Independent Judgment and Consequence of Errors:

  • Moderate level of independent thinking and judgment.
  • Moderate level of decision making.
  • Limited skills in either area could lead to errors in pledge processing that could compromise the integrity of the organization.
Educational Background: 
Associates Degree in Business Management, Office Administration, Accounting/Finance, or Computer Information Systems.
Skills/Experience: 
  • Bachelors Degree preferred.
  • 1 to 3 years job related experience.
  • 1+ year's management experience.
  • Proficiency and accuracy in data entry. Ability to type/enter 35 words per minute.
  • Basic understanding of a relational database.
  • High level of organization and prioritization skills.
  • Demonstrated ability to manage multiple projects with set deadlines/guidelines.
  • Demonstrated ability to work within a team-based environment.
  • Demonstrated analytical skills.
  • Proficient in Microsoft Office computer applications preferred.

Physical Demands/Work Environment:

  • Employee is regularly required to sit, stand, walk, reach with hands and arms, talk and hear.
  • Moderate level of stress caused from tight deadlines.
  • Moderate level of mental and/or visual fatigue and/or eyestrain may result from looking at a computer screen for extended periods of time.
  • Occasional work outside of normal business hours.
  • Moderate office noise level.
