The Executive Assistant of Marketing and Fundraising provides comprehensive support to the Vice President/Chief Marketing Officer and the heads of the Brand, Digital Marketing and Retention departments. Responsibilities include organizing and facilitating senior team meetings/events, budget management, preparing briefing materials/reports, arranging executive travel, and general administrative support.
The position holder is entrusted with high-level confidential agency information and is required to maintain the highest standard of confidentiality. - Accountable for day-to-day decisions around execution of job, and for setting clear objectives and measures for self
- Exercise independent judgment and discretion on significant matters related to functional area
- Require little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments
- General regulations exist, but incumbent must interpret the regulations
- Administrative Support (60%)
- Oversee support for the CMO and three Associate Vice Presidents, including scheduling, arranging WebEx /conference calls, preparing presentations, talking points, and taking minutes. Exceptional follow-through to completion essential.
- Manage contact information for various networks and partners, including Board Members.
- Submit VP and approve senior leadership expense reports, timesheets, purchase orders, and travel requests.
- Department Budgeting and Reporting (30%)
- Through collaboration with the CMO create annual executive budget and reforecast budgets
- Assist with personnel and performance management record keeping, senior leadership onboarding, and posting MCF job requisitions.
- Organize and update files associated with strategic planning, VP projects, and annual calendar
- Special projects and event planning (10%)
- Provide assistance with logistic management and procurement needs for off-site events, VIP field visits, conferences, and retreats as requested.
- Support as backup for drafting and disseminating regular internal and external communications.
- You have a minimum of three to 4 years of experience as an executive-level administrative assistant
- Highly proficient in all Microsoft applications (Word, Outlook, PowerPoint, Excel.)
- Strong organizational and coordination skills; attention to detail a must
- Excellent interpersonal and communication skills (written and verbal) and team player
- Ability to handle multiple tasks simultaneously, prioritize, and work independently
- Proven ability to handle extremely sensitive, confidential information
- Knowledge of additional office skills (video conferencing, live meeting set-up, travel.)
