The American Heart Association (AHA) has an excellent opportunity for a DEVELOPMENT SPECIALIST-ACTIVE EVENTSin our DENVER office. This position will be responsible for coordinating logistics and the experience for our Heart Walk and CycleNation events. Also, responsible for organizing and motivating volunteers; assisting with logistics of auxiliary fundraising events or meetings; maintaining donor or sponsor databases; coordinating event administration, schedules and meetings; controlling inventory of marketing, presentation, or fundraising materials; and preparing financial or operations reports.
- Coordinate and collaborate with vendors and support companies to execute logistics for our largest fundraising events and for our smaller supporting events, including infrastructure, lighting, sound, food and beverage, etc. Coordinate the contract process for assigned events to ensure that each event is following American Heart Association best practices, guidelines and procedures. Track adherence to contractual obligations and perform as agreed upon.
- Assist volunteer committee(s) with recruiting, scheduling and tracking volunteers and volunteer activities. Train volunteers and manage assignments on-site during event. Act as volunteer liaison.
- Create and run reports from internal databases and systems. Ensure that income targets, goals, weekly reports are timely, clear and effective in meeting leadership needs related to revenue reporting. Track and report on sponsorship income, pledged dollar amounts and event donation information for events. Ensure accuracy and adherence to the latest policies and practices of the AHA as they relate to fiscal and event financials. Support the Active Events team with company management.
- Prepare and maintain fundraising materials and presentations as well as event collateral and marketing materials. Coordinate logistics and support materials for auxiliary events and sponsorship meetings.
- Monitor event budget. Coordinate and track invoicing, expenses, and peripheral accounts for event. Prepare and distribute reports as requested.
- Prepare and communicate schedules, meetings and ensure deadlines are met.
- Perform administrative duties as required or requested.
- May assist with collecting and depositing of donations
- May assist with the on-site distribution of collateral materials and volunteer access to AHA systems
- Minimal local travel may be required
- 1-2 years of experience with meeting and event planning
- 1-2 years of experience working with volunteers
- 1-2 years of experience with non-profit organization
- Proficient with Microsoft Office applications and Customer Relationship Management systems
