Responsible for managing the business processes of the extramural grants program to facilitate the effective utilization of the Society’s research funds.  Serves as the primary point of contact for providing business-related grant information to academic investigators and sponsored program offices regarding extramural grants.  Provide organizational support for the Research Business Manager in related activities within the Extramural Research Department including: financial grants administration and financial reporting. Responsible for coordinating financial procedures and records for funded ACS research grants with the ACS Shared Services Business Unit including:  analyzing the accounts, ensuring account reconciliations and providing reports for the Business Manager.

Areas of Responsibility: 
  • Manage the business office operations of the Research Department’s portfolio of Extramural Grants.  Responsibility for ensuring that institutional financial reporting is performed consistent with ACS grants policies and procedures.  
  • Serve as liaison between the Extramural Research Business Office and academic institution’s Sponsored Program Directors; negotiating terms and conditions related to ACS-funded grants: approve or disapprove reports of expenditures due to incomplete documentation or disallowances.   Provide necessary documentation to research investigators and academic institutions to address recovery of unallowable or misappropriated expenditures.  Responsible for financial tracking of grant activations, modifications, and institutional transfers.
  • Responsible for coordinating all aspects of the financial procedures and records for research grants funded by the Society with the ACS Shared Services Business Unit including analyzing the assigned accounts and ensuring account reconciliations and providing reports for the Business Manager.
  • Work with ACS Shared Services accounts payable team to resolve grant issues; document missing payment issues at the institutional level; manage the refund and resignation account by determining payments missing.
  • Responsible for reviewing and approving the monthly financial statements (grant trial balance and check register) to ensure a high level of accuracy and accountability for the department’s grant disbursement accounts.  
  • Compile the data for the year-end volunteer contributed services report for ACS auditors.
  • Serve as the primary point of contact on matters directed to the office by constituencies; research and prioritize incoming issues and determine appropriate course of action, i.e. referral and/or response.
  • Provide organizational and administrative support for the Extramural Research Business Manager, including:  1) prepare monthly financial reports for the department, including grant accounts payable reconciliation; and 2) review monthly financial reports and reclassify transactions.
  • Support the Extramural Research Business Manager in preparation, review, and consolidation of annual budgets for the Research Department  
  • Evaluate and determine appropriate responses to written correspondence received by the Business Office:  1) formulate and disseminate written responses as appropriate; and 2) coordinate the resolution of individual problems as they arise.
  • Participate in special projects related to automation and information dissemination.
  • Complete special projects as assigned.
  • Be available and respond to internal and external queries related to grants without undue delay.

SPECIALIZED TRAINING OR KNOWLEDGE:

  • Knowledge of grants management systems, training in policies regarding compliance, disclosure, non-disclosure, confidentiality of grant applications, grants, intellectual property
