Position Summary:

 

American Bird Conservancy (ABC) is seeking a proactive, organized, and detail-oriented Development Coordinator to assist development staff in fundraising and grant management. The Development Coordinator provides essential support to the development team by assisting in grant management, grant reporting, and fundraising operations. This role is responsible for coordinating grant-related meetings, maintaining accurate records, and supporting prospect research and proposal development. Additionally, the Development Coordinator supports the Senior Development Officer with donor stewardship and engagement, as well as managing donor moves in the CRM.

Areas of Responsibility: 

Primary Duties:

 

Post-Award:

Under the supervision of Development staff, assist with processing new programmatic gifts and grants by ensuring they are coded and allocated correctly, entering them into program budgets, creating donor acknowledgement letters, reviewing donor requirements and restrictions, and notifying program staff. Duties also include:

  • Schedule and coordinate key meetings, including grant launch meetings, grant reviews, and grant closeout sessions.
  • Document and distribute meeting notes, ensuring they are saved appropriately for reference.
  • Submit and monitor requests for grant code creation, and modifications in the CRM and financial system as needed.
  • Update tracking sheets and program budgets with new grant allocations, reallocations, subgrant agreements, and any necessary modifications.
  • Coordinate with finance team members on monitoring grant expenses and ensuring all financial reporting and invoices are completed and submitted to donors.
  • Monitor donor deadlines, and coordinate with program staff members on tracking and completing grant deliverables and milestones, and the preparation of technical reports to donors.
  • Serve as a point of contact for program staff regarding funder requirements, grant allocations, and reallocation requests.
  • Assist development staff in the processing of gifts from individuals to programs and external partners.

 

Pre-award:

  • Conduct research on funders, tracking deadlines, proposal requirements, and changes to funding priorities; update CRM records and adjust follow-ups accordingly.
  • Retrieve funder templates for reports and proposals and populate with ABC boilerplate language and relevant information.
  • Support funding proposal submissions by creating PDFs, uploading final drafts of proposals, budgets, and supporting documents to grant portals.
  • Assist with donor trips and event planning as needed.
  • Assist with other donor stewardship activities.
Skills/Experience: 

Position Requirements:

 

  • At least three years’ experience in grant management, fundraising, or nonprofit development.
  • Extremely detail-oriented; enjoys data entry and research.
  • Excellent organizational skills, time management skills, and successful experience managing complex activities.
  • Excellent written and oral communicator.
  • Proficiency with computers and software, including Excel. Proficiency with Every Action CRM and Netsuite/PyanGo systems preferred.
  • Proactive, self-starter. Ability to work independently, efficiently, and accurately and manage multiple deadlines.
  • Displays a high standard of professionalism and discretion with donors.
  • Ability to work well as part of a team.
  • Ability to work with a wide range of people at all levels and a diversity of backgrounds.
  • Sense of humor.
  • Strategic thinker.
  • Ability to maintain confidentiality of donor information.
  • Willingness to travel.
  • Must be authorized to work in the US
  • Background screening is required
  • Experience working in conservation considered a plus.
