Staff Accountant - Grant Billing

The Staff Accountant – Grant Billing is a critical role in the Finance department. The person in this role will gain a deep understanding of the detailed invoicing requirements of our grants and contracts. This position is responsible for preparing monthly invoices, gathering required supporting documentation, coordinating internal approvals and signatures, and entering them in our financial system. This position will also cross-train and provide backup support for other accounting functions. This is a regular, full-time, non-exempt, non-union position.

Essential Duties:

  • Prepare billings for Lifelong grants and contracts, inclusive of providing supporting documents as required
  • Ensure compliance with grant/contract financial terms
  • Work with department leads to collect approvals of prepared invoices and supporting documentation prior to submission to funding agencies
  • Respond timely to funder and program manager/departmental inquiries
  • Prepare monthly recurring JVs as well as reclassing entries related to grant and contract invoices
  • Record monthly banking activity for checking, savings, and investment accounts as part of the Finance Department’s month-end close process
  • Participate in fiscal monitoring requirements as needed
  • Prepare schedules and data as requested for annual financial audit, 401k audit, and 990 tax return
  • Monthly reconciliation of assigned balance sheet accounts
  • Manage office supply orders and approvals
  • Cross-train to provide back up for other accounting functions
  • Quarterly audit of EHIP (Evergreen Health Insurance Program), the program that supports client health insurance premiums
  • As part of a committee, collect applications and approvals for a small client assistance fund, process payments, and update tracker
  • Special projects
  • Other duties as assigned

Education and Experience:

  • Bachelor’s degree or combination of related education and work experience in accounting, business, or finance.
  • Three or more years of relevant experience in a computerized accounting environment preparing general ledger entries, reconciling accounts, preparing audit schedules, and maintaining detailed project files.
  • Experience with PC based accounting systems, MIP preferred
  • Experience with in-house payroll using HR/Payroll platforms (HRIS), Paycom a plus
  • Demonstrated skills and strong working knowledge of Microsoft Office suite of applications, including Excel, Outlook, and Word.  Experience with PowerPoint is a plus.
  • Able to prioritize multiple projects and meet deadlines in a time-sensitive environment.
  • Ability to communicate clearly and professionally in both verbal and written form.

Work Environment:

  • This role is a hybrid position based out of our office in the Georgetown neighborhood of Seattle.
  • Any offer of employment is contingent upon passing a criminal background check. Some programs may require additional background checks or frequency.

Compensation/Benefits: 

$29/hr - $39/hr
