Project Coordinator, Advocacy Campaigns

The American Heart Association (AHA) has an excellent opportunity for a Project Coordinator in our National Center office located in Dallas, TX (if not local, remote/home based is acceptable) .

The Project Coordinator is responsible for providing coordination and administrative support for assigned department or project. Additional responsibilities include preparing and distributing communications, scheduling, tracking and reporting progress measures and other organizing efforts based on project assignments as well as responsibility for operational budget and department expense processing, record keeping or other administrative duties.

Areas of Responsibility: 
  • Project Coordination/Administration: Work independently and within a team on special nonrecurring and ongoing projects. Coordinates and monitors project timelines while effectively communicating project needs and related information as required. Responsible for moving projects through other department processes and provides proactive updates and communication of projects. Tracks, coordinates and assists in the management of internal and external strategic partnership relationships and deliverables including real-time updates in the partnership Compass. Assists with review, editing and science submission for all developed resources. Coordinates travel, virtual and face to face meetings and prepares materials and meeting packets (includes working with the meetings department if necessary) for the Campaign Planning Team. Ability to take initiative and provide remote support.
  • Event Coordination:Assists in the organization and coordination of advocacy department and integrated association trainings (in-person and web-based). Coordinates and communicates with staff, vendors and internal partners, and/or perform on-site set-up and logistics coordination for trainings and events. Coordinates the scheduling, tracking and meeting notes/actions for the Matrix Teams (individual issue teams and larger team) and assist with team projects as determined. Coordinates regular team meetings, strategy meetings and extended campaign planning team meetings including agendas, calendar notices and follow up notes.
  • Reporting and Compliance:Evaluates and maintains information and accurate data for compliance requirements or internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations.
  • Website Management & Technology Support:Coordinates and provides real time updates of the Resources and Training SharePoint site as well as the team SharePoint site. Coordinates file access, archival, formatting, creation, review, communication and archival as needed by client base and per project. Assist with analysis and review of Campaign Planning Team budget and utilizes vendor and/or AHA systems (e.g. E1, Optimus) efficiently and competently to complete duties/projects including proactively coordinating team contract needs.
  • Customer Service:Provides excellent internal and external customer service by responding to requests in a timely manner and adhering to deadlines as appropriate. Anticipates needs and proactively communicates progress. Provide feedback and recommendations to improve internal team processes and procedures.
Educational Background: 
High School Diploma or Equivalent.
Skills/Experience: 
  • Minimum of two (2) years of experience in a project coordination or related administrative role.
  • Must be able to function independently with minimal supervision as well as in a team environment and interact with all levels of AHA staff, volunteers and the public.
  • Ability to multi-task and work in a fast-paced environment to meet daily, monthly and annual goals. Required with ahigh attention to detail and efficiency.
  • Excellent written/oral communication skills as well as demonstrated customer service skills.
  • Prior experience with meeting coordination and management.
  • Prior experience with finance and/or expense management.
  • Experience running large web-based meetings on platforms such as Skype and AdobeConnect.
  • Demonstrated ability to prepare written and presentation communicationsin MS Office Suite. Experience in Adobe software programs a plus.
  • Proven background and willingness to work in an atmosphere requiring flexibility and change with the ability to work evenings/weekends and travel when necessary.
