The Patient Care Coordinator (PCC) serves as a medical receptionist, welcoming patients, assuring appropriate forms are completed, and completing general front office duties. The PCC is responsible for checking in and checking out patients while providing excellent customer service.
Areas of Responsibility:
Medical Reception:
- Provides excellent customer service that is non-discriminatory to all patients regardless of race, color, creed, sex, marital status, sexual orientation, age, national origin, disability, or HIV status.
- Checks-in and/or out patients for all types of appointments offered at MBPP: determines program eligibility, assigns to fee scale, collects payment, ensures paperwork is completed and documented in AMD and/or EMR as necessary.
- Schedules all types of appointments offered by MBPP including arrangements for surgical and medication abortion, sterilization procedures, STI screening, contraceptive services, and for emergency contraception.
- Maintains a professional and friendly attitude.
- Creates and maintains charts in electronic systems. Follows proper scanning procedures.
- Keeps payments secure and in accordance with company policies.
- Keeps reception area tidy and stocked.
- Troubleshoots patient concerns in a professional and compassionate manner.
- Informs callers in a non-directive manner about all services available to them based on the caller’s needs and schedules appointments as necessary.
- Assists patients in enrolling in special programs.
Pharmacy:
- Sells all FDA approved contraceptives, including emergency contraception and other supplies prescribed by MBPP practitioners.
- Collects appropriate payment and ensures secure handling in accordance with company policies.
- Enters proper information into the medical information system
Telephones:
- Answers phones, directs calls, schedules all types of appointments and answers questions as appropriate to license and training.
- Ensures triage notes are quickly passed on to appropriate staff.
General Duties:
- Abides by all MBPP policies and procedures regarding patient privacy and confidentiality.
- Adhere to affiliate goals and policies on professionalism, wait time in-clinic and on the phone, and the system for addressing client complaints.
- Notifies patients of the need for follow up per system alerts
- Ensures safe and secure opening and/or closing of facility as assigned.
- Opens, processes, and distributes mail.
- Assists with patient mailings as assigned.
- Reads agency email daily and responds appropriately.
- Reconciles daily receipts and deposits as assigned.
- Adheres to company policies on infection control and safety procedures.
- Perform other duties as assigned by supervisor.
Educational Background:
High school diploma
Skills/Experience:
- Two years of experience in a clerical position, medical office setting preferred.
- Must be willing to work a flexible schedule including evenings, weekends and at any of MBPP’s facilities as assigned.
- Valid Washington state driver's license, reliable transportation, automobile insurance, and good driving record required for travel between clinics.
- Successful completion of background check.
- Bilingual English/Spanish preferred.

Knowledge, skills, and abilities:
- Ability to read, write, understand and communicate clearly in English.
- Basic skill in grammar, spelling, punctuation, and proof-reading.
- Skill in operating office equipment to include copy machine, calculator, multi-line telephone, fax machine.
- Ability with computers to include word processing and medical information systems.
- Skill in data entry with a high degree of accuracy.
- Basic math skills, to include subtraction, addition, an understanding of statistics.
- Knowledge of medical office procedures, including scheduling and check-in.
- Knowledge of family planning and reproductive health topics preferred.
- Ability to pay careful attention to detail and excellent organizational skills.
- Ability to prioritize work appropriately.
- Ability to work effectively as part of a team.
- Ability to work in fast paced, stressful, and dynamic environment.
- Ability to respond quickly in an emergency.

Working Conditions/Physical Demands
