The Program Events Coordinator provides administrative support and execution of all logistics for all special events and other department projects, managing and tracking the planning, organization and flow of special events reporting to the Program Events Manager.  The position based in the West Palm Beach office, requires travel throughout the Affiliate service area, work nights and weekends as assigned 

Areas of Responsibility: 
  • Coordinate preparation and production of events that range from small donor stewardship receptions to larger fundraising events: include gift processing and reconciliation, donor acknowledgment letters, tracking event attendance, filing, mailings, donor calls, database projects and other tasks as needed.
  • Assist in all aspects of the planning of annual fundraising events.
  • Assists with event sponsorship solicitation and cultivation mailings including editing and writing sponsorship proposals.  Prepares mailing lists, mail merges, prints mail components, orders mailing supplies, oversees volunteers, assembles mailings and tracks progress in Raiser’s Edge.
  • Answers Development Department phone
  • Assist with coverage of front desk as needed. 
Educational Background: 
Bachelor’s Degree required.
Skills/Experience: 
  • Two (2) years’ experience in a non-profit organization, within a Development Department managing volunteers preferred.
  • Ability to communicate effectively with multiple audiences. 
  • High level of typing accuracy and speed.
  • Ability to handle confidential information appropriately.
  • Strong interpersonal skills.
  • Accuracy and attention to detail essential. 
  • Professional appearance and attitude. 
  • Availability to work flexible hours, including weekends and evenings as required. 
  • Requires valid driver’s license and a reliable means of transportation
  • Strong organizational skills and ability to manage numerous projects and deadlines simultaneously.  
  • Flexibility in adapting to changing priorities.
  • Ability to work effectively with members of the board of directors, donors, volunteers, staff and others within and outside of the organization.
  • Ability to organize and coordinate event logistics.
  • Proficiency on a personal computer in Word, Excel, Outlook, PowerPoint and donor database software.
  • Experience with Raiser’s Edge software is a plus.
  • Excellent written and oral communication skills.
  • Ability to understand financial reports, budgets and projections.
  • Must be self-motivated and able to work independently or with a team.
  • Experience in the support of fundraising campaigns, appeals and events preferred.
  • Experience supporting executive staff preferred.
  • Superior attention to detail, accuracy, and dependability.
