American Friends of the Alexander von Humboldt Foundation seeks an enthusiastic Alumni Relations and Annual Fund Program Coordinator. Working as a team, the two Program Coordinator positions are responsible for the day-to-day implementation of key programs of American Friends.
Reporting to: Director of Advancement and Chief of Operations
Serve as lead support program coordinator for alumni relations and annual fund engagement.
Sample Duties for Program Areas:
Alumni Engagement and Support
- Be proficient and/or comfortable with using Salesforce database to manage and manipulate data.
- Manage the alumni database and ensure that it is consistently up-to-date and accurate.
- Utilize database for reporting annual appeal metrics and other ad hoc requests for reports.
- Support initiatives developed by the American Friends Alumni Council and/or American Friends leadership to expand the engagement of US alumni.
- Participate in professional conferences and recruit alumni to participate in promotional events.
- Cultivate relationships with alumni in line with promotional activities.
- Support logistics and special materials for other key American Friends events.
Fundraising Support for Major and Annual Gift Programs
- Responsible for fundraising support functions for institutional advancement program on deadline with priority focus on cultivating new and increasing giving from the Board, AFAvH individual alumni donors, and current AFAvH alumni non-donors.
- Manage support for key development goals and initiatives including but not limited to Board campaign, prospect research for the purpose of cultivation and solicitation of major gifts, annual fund direct mail and digital multi-ask initiatives, special functions, events, and goals.
- Lead coordination of annual fund based on development plans, research findings, major gifts campaign, activities, and events calendar. Recommend synergisms between program components and lead in and follow up communications.
- Drive, formulate, and recommend strategies for new individual and institutional prospects and opportunities based on high-quality research efforts utilizing multiple platforms, including wealth screening tools, an understanding of the AFAvH mission and goals and international events and news. Strategies relate to top donor prospects, Board nominations, and prospects and methods to build a fortified donor program.
- Within development goals, create prospect profiles, call reports, gift agreements, special correspondence, and acknowledgment processing.
- Use database proficiency to support all development and fundraising activities, especially regarding generating curated lists based on specific search criteria or demographic information, in addition to post-appeal data analysis of performance and historical comparisons. Adhere to compliance and ethical standards; engage best practices, strong research and high level analytic, interpretive, summarizing, writing, and presentation functions in all work.
Administrative Support
- Assist with budget preparation, the processing of bills, and basic financial statements.
- As needed, assist with research, materials preparation, or logistical support for special initiatives, outreach activities of the President, Board members, or alumni.
- Provide general administrative support as needed to ensure the smooth and efficient management of the office and consistent high-quality, responsive support of the Board and other volunteer leaders.
- Supervise and support the positive professional development of American Friends interns.
- Participate in organizational planning and evaluation; provide regular progress updates and reports on initiatives and activities to ensure quality, flag challenges, and achieve goals.
Qualifications for Alumni Relations and Annual Fund Program Coordinator
- BA required. Study in a field relevant to the work of the American Friends of AvH, German, communications, or nonprofit management a plus.
- Development, annual fund, alumni engagement and/or prospect research experience in a university setting or with a nonprofit and its membership or constituency.
- Strong technical aptitude, with experience in database management, website management, advanced Excel functions, and mass email applications highly desired.
- Experience with Prospect Research Search programs, Salesforce, and MailChimp required.
- Excellent problem-solving skills, strategic mindset, and dedication to accuracy in work product.
- Cross-cultural competency is highly desired; functional German language skills a plus.
- Strong written and oral communication skills.
- Excellent organizational abilities with sharp attention to details and logistics, keen sense of how individual activities support the institution’s larger goals.
- Excellent interpersonal skills and ability to develop and maintain a wide range of relationships and partnerships with professionalism and responsiveness.
- Self-motivated and able to work well independently and demonstrate initiative.
- Ability to work and contribute to a small team and a flexible, “can do” attitude to getting things done.

Please note that this is an entry-level position for individuals with up to 2-4 years of post-collegiate work experience. Staff are expected to be in the office two days per week, with telework permitted on the other days.
