The Special Assistant, Special Projects and Management Support provides a wide variety of professional support to the Senior Vice President (SVP) of U.S. Programs & Advocacy (USPA), including managing schedule and correspondence and ensuring preparation for and timely follow up after meetings and events. The Senior Specialist also collaborates with the SVP to manage special projects, including the Center for Rural Poverty and the Artist Ambassador program for USPA. Working in partnership with USPA’s Public Affairs & Development department and the agency’s Resource Development division, this position supports the SVP in managing or stewarding relationships with key private funders, elected officials and more. Finally, the Senior Specialist works closely with the Associate Vice President (AVP) of USPA to ensure alignment of the SVP’s activities with divisional priorities.
Provide high-level professional support to the SVP. (25%)
- In coordination with Executive Assistant, manage SVP’s calendar and logistics for internal and external meetings. Respond appropriately to rapidly changing priorities.
- Ensure that SVP responds to correspondence in a timely manner. Draft replies and send on SVP’s behalf as needed.
- Anticipate and respond to SVP’s needs relative to meetings and events; work with relevant department/unit heads to develop briefings, presentations and other materials and ensure SVP is fully prepared.
- Ensure timely follow up from meetings, including working with relevant department/unit heads to execute action items.
Serve as project manager for Center for Rural Poverty. (35%)
- Work with SVP to execute Phase 1 of Center for Rural Poverty; manage consultants and coordinate with AVP and relevant department/unit heads to ensure on-time and high-quality deliverables. Develop reports and other written materials as needed.
- Work with SVP and AVP to develop Phase 2, including drafting concept notes and proposals.
Support SVP on other high-priority initiatives, including artist ambassador program. (20%)
- Work with SVP and AVP to develop and execute annual engagement plans for Artist Ambassadors for USPA. Ensure strong coordination with agency’s Marketing, Communications and Fundraising division.
- Provide project management support for other high-priority initiatives as identified/requested. This may include Save the Children’s annual gala, VIP site visits, and fundraising and advocacy events.
Manage SVP relationships. (15%)
- Develop and maintain “VIP” list comprised of key private donors, lawmakers, press, celebrities and other supporters.
- Collaborate with USPA’s Public Affairs & Development department, agency’s Resource Development division and others to develop and implement annual stewardship plans to ensure VIPs are engaged in USPA’s work.
- Ensure close coordination with USPA’s Public Affairs & Development department, agency’s Resource Development division and others on SVP’s fundraising and related activities.
Support the Program Quality Committee of Save the Children’s board of trustees and the board of directors of Save the Children Action Network (SCAN). (5%)
- Work with SVP, AVP and officers/key staff to develop agendas, presentations and minutes for quarterly meetings.
- Serve as Secretary of SCAN board of directors. Manage board roster, prepare meeting minutes and work with General Counsel’s office to ensure compliance.
- You have a minimum 5-7 years' experience in project management, executive management support and/or resource development
