Senior Coordinator, Program Growth and Performance

The Senior Coordinator provides administrative, knowledge management, and functional support to the Portfolio Growth and Performance (PGP) department in Save the Children USA. PGP is a shared-service department of the International Programs division, providing functional expertise, system and process oversight, and capacity building in the areas of New Business Development, Award Management, and Account Management. The Senior Coordinator ensures PGP operates efficiently, contributes effectively to broader Save the Children information systems and knowledge management initiatives, and functions cohesively as a staff team. The Sr. Coordinator also assists the proposal management, pricing, and knowledge management and learning units within PGP on resource mobilization, capacity-building, and award management tasks.

This role requires strong communication, data analysis, and information sharing with SCUS Business Teams, other SCUS divisions and executive leadership, and with Save the Children International’s country, regional, and Centre offices.

Areas of Responsibility: 
  • Assist in providing input to their function’s strategic and operational plan
  • Assist in developing short-term plans and organizes resources to achieve results
  • Accountable for day to day decisions around execution of job, and for setting clear objectives and measures for self
  • Exercise independent judgment and discretion on significant matters related to functional area
  • Require little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments
  • General regulations exist, but incumbent must interpret the regulations

Proposal Development and BD Capacity Strengthening (30%):

  • Support bid management, proposal editing and formatting, graphic design, budgeting and budget justifications, and packaging for both technical and cost proposals.
  • Participate in meetings with internal and external stakeholders/partners as a member of the SCUS team, and be responsible to document and disseminate strategic decisions and action plans.
  • Support the Business Development Learning Strategy in developing, revising, and sharing new tools & templates; assist in producing webinars, e-learning series, in-person trainings and other learning channels.

Pipeline Management and USG Opportunity Tracking (20%):

  • Produce pipeline and public funding reports as scheduled or requested.
  • Monitor agency’s award management database to ensure pipeline data is current and accurate.
  • Support monthly audits of IP Business Team pipelines and deliver data to relevant IP stakeholders. Report on Public Pipeline and select internal metrics to inform USG Strategy planning and senior management decisions.
  • Communicate issues to Business Team opportunity point persons regarding opportunity entry, workflows, and approvals.
  • Report monthly updates, trends and issues regarding pursuit status of upcoming opportunities to the NBD team.
  • Assist in daily scanning of donor websites for the release of new funding solicitations and opportunities within Save the Children capabilities and promptly notify country, regional, and technical teams of solicitation releases.

Department Administration and Management Support (20%):

  • Coordinate PGP’s office systems and business processes, including travel arrangements, asset management, meeting preparation and conference calls, new employee onboarding, and staff engagement.
  • Respond to internal and external information inquiries.
  • Ensure PGP department’s compliance with organizational policies regarding travel, procurement, and human resource administration.
  • Support the management of department budgets, including expense coding and reclassifications, budget-vs-actual expense tracking, and monitoring of expense approvals.
  • Provide operational support for remote US-based and overseas-based NBD staff, including liaison with SCUS departments regarding travel, finance, IT, and other needs.

Knowledge Management (20%):

  • Assist in creating, designing, publishing and managing access to PGP’s tools, webinars and resources across the Award Management and Business Development functions.
  • Coordinate information updates for PGP intranet pages, and regularly audit pages to ensure relevant and up-to-date content and links.
  • Support the system-to-system migration of departmental information as needed.
  • Support PGP units and other agency departments and divisions in special projects related to Knowledge Management. Represent PGP and SCUS in collaborations with SCI, other Members, and with relevant external stakeholders.
  • Maintain departmental files/archives.

Other management duties and special projects (10%):

  • Assist in hiring of PGP interns, including developing scopes of work, supporting the recruitment process, and oversight
  • Represent PGP on key initiatives across the Agency, working groups and task forces as relevant to job scope, professional growth opportunity and department needs.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • You have a minimum 3-4 years' experience in area of expertise
  • You have learned knowledge and technical skills to support semi-complex tasks
  • Excellent written and verbal communication skills
  • Demonstrated organizational skills, attention to detail, and initiative
  • Ability to prioritize and complete projects on time, occasionally under pressure and with minimal supervision
  • Ability to handle simultaneous tasks and work in a fast-paced, complex environment
  • Ability to accurately manage, analyze, and present data from varied sources
  • Strong customer service and teambuilding orientation

Preferred Qualifications

  • Experience working with different cultures and/or overseas. International NGO experience highly desirable
  • Demonstrated competency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and PowerBi
  • Knowledge of web-based tools to support virtual collaboration and distance learning
