The Sr. Coordinator, Emergency Operations & Awards provides strategic support within the Department of Humanitarian Response’s (DHR) award portfolio from opportunity to closeout and helps ensure that DHR awards, are properly managed and updated on the Award Management System (AMS) including data entry and workflow processing. The Sr. Coordinator provides support as requested to Award Managers (AMs) including support to proposal development activities, project start-up, agreement processing, Agresso budgets and amendments, reporting, and project close out.  The Sr. Coordinator works closely with AMs to problem-solve and to support the overall health of the caseload of awards.  The Sr. Coordinator will support ongoing data analysis and data visualization for DHR.  S/he contributes to continuous improvement, recommending process improvements for senior management consideration.    

Areas of Responsibility: 

Award Management Support: 70%

  • Award Processing
    • Ensure AMS and Agresso processes for assigned awards are adhered to and help to ensure and maintain data integrity
    • Ensure AMS postings and workflows are completed in a timely manner in support of efficient processing of awards
    • Prepare and as necessary revise Internal Obligated Budgets (IOBs) and follow up to ensure Fund Summaries are activated expeditiously
    • Work with DHR Award Managers to monitor rate of award spending in COs and SCUS home office and follow up with COs as necessary
    • Support the department/agency to maintain knowledge management systems
    • Serve as the primary point of contact for specific awards as requested
    • Monitor Key Performance Indicators (KPIs) for DHR team, support related award management processes, and advise on needed areas of improvement
    • Represent DHR in Award Management Process meetings
    • Designated Funding:
    • Create new records/Fund Summaries for non-pooled allocations
    • Update Fund Summaries for designated contributions (non-pooled allocations) on a regular basis
    • Ensure proper close out of all DHR designated awards in AMS and Agresso
    • Review budget vs actual reports of designated contributions
  • Donor Compliance
    • As requested monitor award implementation and reporting to ensure compliance with donor requirements, and provide needed compliance support to country offices
  • Partnerships
    • Support the development of sub-award agreements to SC Member countries or partners as requested, including processing of wire transfers and ad hoc support and closeout
  • Donor Reporting (Narrative)
    • Review interim and final narrative donor reports generated by CO and circulate for additional input as necessary ensuring that reports are finalized and ready for submission to donors.
    • Provide support for OFDA quarterly narrative report submission
  • Project Close-out
    • Support AMs in completion of the SCI and SCUS Closeout Checklists and help ensure that awards in AMS and Agresso are closed/deactivated as required.

Data Analysis and Visualization: 10%

  • Support all donor accounts in developing and maintaining dashboards and corresponding data sources to ensure regular production of portfolio analysis
  • Ensure monthly production/update of HBT standard portfolio analysis, and update template as necessary
  • Respond to ad hoc requests for tailored data analysis in support of specific meetings, presentations, etc.
  • Suggest improvements in HBT data analysis and visualization as appropriate

Fundraising: 10%

  • Public and Private Resource Development
    • Support the development and review of concept notes and proposals as requested
    • Support the department/agency to maintain knowledge management systems around resource development (ensuring documents are posted on AMS as applicable, maintaining proposal libraries, documenting lessons learned, etc.)

 Deploy/Award Management Technical Assistance: 10%

  • Deploy as possible in relevant capacity to Save the Children Humanitarian responses
  • Travel to Save the Children country offices to conduct award reviews and provide operations support.
Educational Background: 
High School Diploma
Skills/Experience: 
  • Minimum 3-4 years’ office experience, preferably involving office administration
  • Excellent computer skills (Word, Excel, PowerPoint, databases). Preferred Excel and PowerPoint power user
  • Experience in financial management
  • Experience in data management and information technology systems
  • Operational experience, such as working with financial systems
  • Demonstrated organizational skills and attention to detail
  • Ability to handle multiple tasks and ensure timely completion of short- and long-term projects
  • Ability to adapt to changing environment and workload
  • Ability to work under pressure and prioritize accordingly

Preferred Qualifications

  • Master’s Degree in related field or demonstrated experience in providing leadership on programming and policy in humanitarian work.
  • Ability to speak a second, relevant language.
