The Senior Awards Coordinator is a key member of the Award Management team of the Education and Child Protection Department responsible for supporting a portfolio of US Government awards and support the management of small, low risk corporate and foundation awards. The primary responsibility is supporting award managers to ensure donor compliance and successful implementation from opportunity to closeout and supporting the management of small low risk corporate and foundation awards from opportunity to closeout.  This position will support the awards managers in meeting award management targets and metrics for the caseload of awards. This position must support effective flow of information and resources to Save the Children International via our Award Management and Financial systems. This position will facilitate communication and oversight of the awards, serving as a liaison between fundraisers, donors, internal teams and country office staff.  This position will monitor and flag any variations in program implementation and timelines against established workplans, escalating to their supervisor as needed.

Essential duties for supporting US Government awards and managing a portfolio of low risk foundation and corporate awards includes tasks such as; monthly review of financial transactions and spending rates based on general ledger data, review of projections, monitoring of SC’s Award Management System record for each award in the portfolio ensuring it accurately reflects all donor reporting, agreements and internal approval, and supporting Award Managers working with country office and home office staff to ensure donor requirements and expectations are understood.

Areas of Responsibility: 

Monitor Award Portfolio (Corporate & Foundation Donors) (40%) 

  • Efficiently manage a portfolio of low to medium sized low risk corporate and foundation awards from start up to close out in accordance with Save the Children donor guidelines 
  • Support communications on assigned awards with Country Offices and SCUS stakeholders (i.e., TA providers, program officers, other Business Teams, Finance, Grants and Contracts, HR, Resource Development and relevant partners and sub-grantees) 
  • Monitor award implementation, reporting and procurements to ensure compliance and completion of agreed deliverables 
  • Track and monitor project budget versus actual expenditures to ensure expense charges are allowable, allocable and reasonable. Flag any variances to stakeholders and work to maximize the best use of resources 
  • Respond to donor communications, requests, amendments, etc. in coordination with direct supervisor  
  • Support the development of and monitor award agreements as needed 
  • Assist with award budget planning; compile budget submissions 
  • Support the department/agency to maintain knowledge management systems (ensuring award files are kept up to date in consistent manner to support backstopping and handover) 
  • Escalate issues or risks as appropriate to supervisor 

Support Award Portfolio (50%)

  • Donor Reporting:
    • Support donor reporting tasks as needed such as copy edit interim and final donor reports, review for branding requirements, ensure documents are compliant with donor requirements and submitted on time 
    • Support response to donor queries when needed  

Support New Business Development (10%) 

  • Facilitate the internal approval process for concept notes and proposals within SC’s Award Management System (AMS) 
  • Support the development of concept notes 
  • Support the process of developing and submitting proposals in collaboration with SCI and relevant partners 
  • Share budget templates with COs, technical teams, and fundraisers, and help establish proposal calendars  
  • Support knowledge management systems around new business development by ensuring AMS is kept up to date, including posting documents current status, and start dates, and updating internal trackers for proposals and portfolio assignments 
Educational Background: 
Education: High School or better
Skills/Experience: 
  • Minimum 2-3 years' work experience in area of expertise
  • Experience in project management
  • Experience supporting and/or managing small grants, awards or contracts
  • Experience coordinating processes with large stakeholder groups
  • Intermediate to advanced excel skills
  • Strong written and verbal communication skills
  • Attention to detail, ability to manage and complete tasks

Preferred Qualifications

  • College/advanced degree in related area  
  • Experience with web based financial and award/project management systems 
  • Experience working in INGO environment with donor funded projects
  • Knowledge of USG rules and regulations 
  • Fluency in Spanish, French or Arabic
