The Senior Award Coordinator is a key member of the Award Management team of the Department of Global Health responsible for supporting a portfolio of low to medium risk awards.
The primary responsibility is supporting the award managers to ensure donor compliance and successful implementation of small to medium sized corporate and foundation funded awards from opportunity to closeout. This position will facilitate communication and oversight of the awards, serving as a liaison between fundraisers, donors, internal teams and country office (CO) staff. This position will support the awards managers in meeting award management targets and metrics for the caseload of awards. This position must ensure effective flow of information and resources to Save the Children International via our Award Management and Financial systems and flag any variations in program implementation and timelines against established workplans. The Senior Coordinator problem-solves to ensure health of the portfolio of awards, escalating to their supervisor as needed.
Monitor Award Portfolio (focus on corporate and foundation donors) (60%)
- Efficiently support the management of a portfolio of low to medium risk awards through implementation from start up to close out in accordance with Save the Children donor guidelines
- Support communications on assigned awards with COs and SCUS stakeholders (i.e., TA providers, program officers, other Business Teams, Finance, Grants and Contracts, HR, and relevant partners and sub-grantees)
- Assist in monitoring award implementation, reporting and procurements to ensure compliance and completion of agreed deliverables
- Track and monitor project budget versus actual expenditures to ensure expense charges are allowable, allocable and reasonable; follow up to ensure any errors are corrected. Flag any variances to the supervisor and work with stakeholders to help ensure maximum budget utilization
- Assist with responding to donor communications, requests, amendments, etc. in coordination with direct supervisor
- Support the development of and monitor award agreements as needed
- Assist with budget planning; compile budget submissions
- Support the department/agency to maintain knowledge management systems (ensuring award files are kept up to date in consistent manner to support backstopping and handover)
- Escalate issues or risks as appropriate
Donor Reporting (15%)
- Facilitate communication and support for timely, accurate narrative and financial reporting to donors by reviewing donor reports generated by CO
- Support with copy edit of interim and final donor reports and review for branding requirements
- Support response to donor queries when needed
Budget Management – Other (15%)
- Support the Director, Finance and Portfolio Management, to create budget-monitoring reports as needed for the department across various funding sources
- Serve as back up support for department finance staff on timesheet coordination, payments, travel expense reports and monthly transaction reviews
Support New Business Development (10%)
- Facilitate the internal approval process for concept notes and proposals within SC’s Award Management System (AMS)
- Support the development of concept notes; provide feedback to COs; incorporate reviewer feedback into concept notes
- Support the process of developing and submitting proposals in collaboration with SCI and relevant partners
- Share budget templates with COs, technical teams and fundraisers and help establish proposal calendars for proposals assigned
- Support the department to maintain knowledge management systems around new business development by ensuring AMS is kept up to date, including documents posted, and current status and start dates are reflected, based on input provided, updating internal trackers for proposals and portfolio assignments
- Support team’s proposal tracking based on information provided by the team, to ensure the most up to date data is being reflected
- 3-4 years of professional experience
- Experience in project management
- Experience working in INGO environment with USG funded projects
- Experience coordinating processes with large stakeholder groups
- Strong written and verbal communication skills
- Attention to detail, ability to manage and complete tasks
Preferred Qualifications
- 3+ years’ experience in budget management and financial analysis
- College/advanced degree in related area
- Experience with web based financial and award management systems
- Experience working in INGO environment with USG funded projects

- Fluency in French or Arabic
