The Family Planning and Reproductive Health Department at PSI HQ supports programs in 37 countries (and counting!) to deliver high-quality family planning and safe abortion services to women and girls.
We are looking for Program Coordinator to support the Family Planning and Reproductive (FP/RH) Health Department with overall operations, knowledge management, and project management. You will primarily support the Women’s Health Project and FP/RH Quality Assurance (QA) teams, with some administrative support to the broader FP/ RH department.
The QA team works across the FP/RH Department and its multiple projects, supporting more than 30 countries to provide high quality FP/RH services. The WHP core team leads a large and dynamic project, implemented in 15 countries around the world. You help keep both teams organized, energized, and ready to tackle any challenge that come our way.
The PC will have wide-ranging responsibilities and work with PSI staff at all levels both in Washington and overseas. The ideal candidate is someone who will proactively meet administrative and project needs, can juggle multiple, competing priorities, and will enthusiastically ensure smooth and timely flow of work. This position is based in Washington, D.C.
WHP Project and Knowledge Management (estimated 50%)
- Co-lead knowledge management activities for WHP including: capturing and sharing success stories, information, and resources; building staff capacity in knowledge management; and implementing knowledge management plans.
- Create, improve, and maintain project management tools and trackers.
- Provide administrative support for WHP such as planning meetings, setting up new consultant agreements and vendors, and processing and tracking invoices.
- Support donor and internal reporting activities and communications, including preparation and finalization of materials.
- Support financial analyst on activities such as preparing burn rates and leading on travel tracking and reconciliation.
- Assist in preparing and copy-editing donor reports, proposals, presentations, and other technical documentation.
- Support WHP country(ies) as needed
QA Program Support (estimated 40%)
- Coordinate audits: organize logistics, coordinate site selection, prepare documents, and serve as liaison for pre- orientations and meetings.
- Maintain QA databases for audit tracking, adverse events and pharmacovigilance and contribute to creation of quarterly summary reports for QA topics.
- Assist in the preparation of documents, PowerPoint presentations, spreadsheets, and correspondences.
- Provide logistics support for QA regional calls and meetings, webinars, and roundtable discussions.
Administrative Coordination for FP/RH Department (estimated 10%)
- Contribute to administrative functions, including: planning for internal and external meetings, conferences, and other events; supporting meetings; maintaining SharePoint sites; arranging travel and visas; onboarding new staff; processing and reconciling invoices, and other ad hoc office duties (meeting minutes, scheduling support to senior staff, etc.).

The basics
- Must have a BA or BS in a related field of study.
- At least two years of full-time work experience.
- Commitment to international development and safe abortion.
- A multitasking machine.
- Excellent organization and administrative skills with special attention to detail.
- Previous experience in project management for a health-related project, including familiarity with donor reporting and financial/quantitative analysis.
- Strong analytical/problem-solving capabilities. You enjoy tackling problems and aren’t afraid to propose solutions.
- A team player and self-starter who can work gracefully under pressure.
- You stay positive when things are difficult, manage your time effectively, and communicate with your team efficiently about your workload.
- Strong skills in Microsoft Office applications, formatting, and written communications.
