PSI is seeking a Procurement Coordinator for a period of 6 months to provide Administrative Support to the Procurement Team at Headquarters in DC. At the end of the 6-month period PSI might extend the term or make it a permanent position based on fund availability and workload within the procurement department.

Areas of Responsibility: 
  • Coordinate Procurement Module in Infor-Lawson, which is PSI’s ERP system. This would include but is not limited to Creation of Requisitions, setting up Requesters towards Service Procurement within HQ staff, Setting up of Approvers for field offices, monthly close outs of Module.
  • Maintaining Procurement SharePoint and Communication site and updating it with latest information’s from time to time.
  • Developing and implementing a system of Performance Bonds, received from Vendors. This would include tracking of expiry dates and working either for renewal or return as the case may be and as per policy.
  • Working with buyers for data consolidation of orders to explore options of varied or consolidated sourcing and cost reduction.
  • Maintain and share Procurement monthly MIS reports with all internal stake holders.
  • Maintain Physical and electronic filing system for procurement.
  • Maintain Pharmaco Vigilance/Adverse Reporting to manufacturers and necessary follow ups, when required.
  • Any other administrative tasks assigned from time to time.
Educational Background: 
Attended college as a full-time student and has an Undergraduate Degree

Competencies

  • 1-2 years as an Administrative Assistant with a similar large organization and has worked either as an Administrative Assistant in a department or with a Senior Management official.
  • Proficiency in English is a must (Spanish or French would be an advantage)
  • Excellent verbal and written communication skills
  • Strong analytical skills with a process approach
  • Ability to coordinate amongst stake holders
