Manager, Special Projects, U.S. Programs & Advocacy

The Manager of Special Projects will ensure the efficient and effective functioning of the Office of the Senior Vice President of U.S. Programs & Advocacy (USPA). In that capacity, the Manager will coordinate the schedules of the Senior Vice President and Chief of Staff, ensure the Senior Vice President is prepared for meetings and events, and provide other administrative support. The Manager will work with the Chief of Staff to plan regular meetings of the USPA Senior Management Team (SMT), the USPA committee of Save the Children’s board of trustees, and the board of directors of Save the Children’s 501(c)(4) affiliate, Save the Children Action Network (SCAN). In addition, the Manager will support internal communications, knowledge management, the artist ambassador program and special projects.

Areas of Responsibility: 

Support the Office of the Senior Vice President. (35%)

  • Manage schedules for Senior Vice President and Chief of Staff.
  • Ensure Senior Vice President is prepared for all meetings and events. Coordinate development of briefing memos, talking points and other materials, and schedule preparatory meetings as needed. Ensure all memos/materials are submitted on time.
  • Prepare travel arrangements and expense reports for Senior Vice President and Chief of Staff.
  • Manage Senior Vice President’s call list.
  • Coordinate with Public Affairs & Development department on Senior Vice President’s engagement with donors/prospects, policymakers, press and other supporters.
  • Provide other administrative support as needed.

Support the USPA SMT. (5%)

  • Work with Chief of Staff to set and distribute agendas and other materials for USPA SMT meetings.
  • Prepare minutes, capture action items and ensure prompt follow up.
  • Work with Director of Planning & Knowledge Management to circulate minutes to USPA staff on a monthly basis.

Support the USPA committee of Save the Children’s board of trustees and the board of directors of SCAN. (5%)

  • Work with Senior Vice President, Chief of Staff and officers/key staff to develop agendas, presentations and minutes for quarterly meetings.
  • Set timelines to ensure that agendas and other materials are developed and distributed in ample time.

Manager Artist Ambassador program and other special projects for USPA. (35%)

  • Work with Chief of Staff to develop and execute annual engagement plans for Artist Ambassadors for USPA.
  • Carry out other special projects including, but not limited to, preparation for Save the Children’s annual gala and coordination of VIP site visits and fundraising and advocacy events.

Support internal communications and knowledge management for USPA. (20%)

  • Work with Director of Planning & Knowledge Management to plan and execute monthly town halls, business team meetings and team-building activities.
  • Work with Director of Planning & Knowledge Management to develop and execute knowledge management plan for USPA.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • You have a minimum 3-5 years' experience in area of expertise
  • You have learned knowledge and technical skills to support semi-complex tasks
  • Excellent written and verbal communication skills
  • Team player with excellent interpersonal and collaboration skills
  • Highly professional, motivated, energetic and well organized
  • The ability to work independently and drive multiple initiatives simultaneously
