Coordinator, Reproductive Health Program

The Reproductive Health Program Coordinator plays an important team and project support function within Save the Children’s large, complex, and fast paced Department of Global Health (DGH). The Program Coordinator is responsible for providing cross-cutting administrative and operational support to the Reproductive Health team and its programs, which encompasses adolescent sexual and reproductive health and rights (ASRHR), maternal and newborn health (MNH), and family planning (FP) programs. The Coordinator works in close collaboration with relevant department and project specific team members, Knowledge Management staff, and others across the department and agency to ensure his/her team and key stakeholders receive the necessary support to work effectively and efficiently. To achieve this goal, the Coordinator will promote actions in accordance with SC’s policies and procedures, with calm professionalism, an eye towards efficiency, and the enthusiasm to constantly learn, teach, and support others in a collaborative way. 

Areas of Responsibility: 

Team Specific Administrative & Operational Support (50%)

Supports the day-to-day administrative decisions for the Reproductive Health team within DGH, ensuring strong communication, organization, planning, and coordination within the team. Specific duties will vary depending on the need, but will largely include needs such as:

  • Proactively coordinating and supporting the preparation and execution of regular team meetings, workshops, webinars, teleconferences and events. This includes drafting and copy editing presentations, documents, and reports, coordinating and finalizing meeting agendas, disseminating and compiling information, notetaking, tracking and following up on action items, providing technology and logistics support, and other administrative support functions as needed;
  • Assisting with travel planning, including visa requests, and monitor submission of trip reports;
  • Assist with procurement agreements and payment for vendors or consultants;
  • Supporting the Senior Director, Maternal & Reproductive Health to monitor team resources and budget. This may include disseminating timesheet analysis and budget reports, processing payments, and serving as a timesheet coordinator for the team;
  • Serving as a person of contact and champion for our Save the Children’s processes, procedures, systems and tools and help train staff and troubleshoot issues;
  • Coordinating and contributing to Reproductive Health team-related proposal development efforts, as requested;
  • As needed, providing administrative support during the recruitment, onboarding, and orientation of new and transitioning team members.

Project and Award-Specific Operations and Support (30%)

In close collaboration with Reproductive Health team members, supports the project and award management administrative and operational needs for specific active awards. General duties will align with those listed under Team Specific Administrative & Operational Support (above); specific duties will vary depending on the assigned portfolio, but will likely include:

  • Providing support to finalize donor reports or deliverables, including the coordination and compilation of inputs and feedback from technical staff, review, copy editing of documents and translation if/when appropriate;
  • Participating in the development of project work plans, implementation tools, assists in tracking performance, and supports the editing of program briefs or reports for external audiences, as requested;

Knowledge Management for Team(s) and Specific Projects/Program(s) (20%)

Supports the department and agency’s overarching efforts to capture and deploy knowledge. Specific duties will vary but will likely include agency, department, team, and project-specific needs such as:  

  • Supporting quarterly reporting and the operational and strategic planning processes by coordinating, compiling, editing, and summarizing team input;
  • Providing day-to-day support for the specific team(s) internal knowledge management systems, which includes but is not limited to maintaining staff contact information and distribution lists, organizational charts, and team and/or project homepages, and ensuring that these systems are updated in accordance with department, project, and agency guidelines;
  • Supporting teams in the development of project briefs and other project specific documents;
  • Managing team Sharepoint shared folders and archiving project reports in the appropriate electronic libraries,
  • Supporting the department’s Knowledge Management team to ensure RH project tools and resources are uploaded and archived to the appropriate agency libraries or resource sites,
  • Supporting team(s) to ensure donor and/or agency branding guidelines are followed and knowledge management activities are completed, as needed (e.g. submission of program materials to USAID Development Experience Clearinghouse);
  • Liaising with DGH’s Knowledge Management Senior Specialist to answer requests from our Resource Development Department about ASRHR, MNH, or FP programs and their achievements.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • Minimum 2-3 years' experience
  • Learned knowledge and technical skills to support semi-complex tasks
  • Demonstrated interested in global health is desired, preferably in reproductive health, family planning, maternal health or adolescent health. 
  • Demonstrated experience with copy editing and formatting of publications for various types of technical and lay audiences;
  • Excellent computer skills and ability to learn new systems (Microsoft Word, Excel, PowerPoint, Outlook, SharePoint);
  • Exhibit strong desire to learn new skills and demonstrate willingness to teach others;
  • Excellent organizational, time management and both written and verbal communication skills; Strong attention to detail, focus on achieving results, and ability to multi task and support various members of management simultaneously;
  • Ability to work independently with minimal supervision and prioritize multiple tasks in a fast-paced environment;
  • Ability to work as a team player and to develop and maintain relationships with key groups (internal and external) to the organization.

Preferred Qualifications 

  • 3+ years’ experience in area of expertise
  • College/ advanced degree in related area (communications, monitoring & evaluating, global health, international development, etc.)
  • Demonstrated experience with developing tracking and reporting systems;
  • Experience in knowledge management, documentation, and information technology systems;
  • International relief/development experience
  • Second language skills, particularly French
