The Nutrition & WASH (Water, Sanitation and Hygiene) Program Coordinator plays an important team and project support function within Save the Children’s large, complex, and fast paced Department of Global Health (DGH) in the International Programs Division. Under the direct supervision of the Senior Program Manager, the Program Coordinator is responsible for providing cross-cutting administrative and operational support to the Nutrition & WASH team, and to specific projects across the department as the need arises. The Program Coordinator works in close collaboration with relevant department and project specific team members, Knowledge Management staff, and others across the agency to ensure the team and key stakeholders receive the necessary support to work effectively and efficiently. To achieve this goal, the Program Coordinator will promote actions in accordance with Save the Children’s (SC’s) policies and procedures. Serving as a point of contact for numerous stakeholders with varying needs, the Program Coordinator provides support with calm professionalism, an eye towards efficiency, and the enthusiasm to constantly learn, teach, and support others in a collaborative way.
Team Specific Administrative & Operational Support (50%)
Supports the day-to-day administrative decisions for the Nutrition & WASH team within DGH, ensuring strong communication, organization, planning, and coordination within the team. Specific duties will vary depending on the need, but will largely include needs such as:
- Proactively coordinating and supporting the preparation and execution of regular team meetings, team retreats, workshops, webinars, teleconferences, international conferences and events. This includes drafting and copy editing presentations, documents, and reports, coordinating and finalizing meeting agendas, disseminating and compiling information, notetaking, tracking and following up on action items, supporting abstract submissions, providing technology and logistics support, and other administrative support functions as needed;
- Supporting with management of team travel and events calendar, including assisting with travel planning, visa requests, and monitoring adherence to travel guidelines and submission of trip reports;
- Assist with procurement agreements and payment for vendors or consultants;
- Serving as a person of contact and champion for our Save the Children’s processes, procedures, systems and tools and help train staff and troubleshoot issues;
- Coordinating and contributing to Nutrition & WASH team-related proposal development efforts, as requested;
- As needed, providing administrative support during the recruitment, onboarding, and orientation of new and transitioning team members;
Project and Award-Specific Operations and Support (30%)
In close collaboration with Nutrition & WASH team members, supports the project and award management administrative and operational needs for specific active awards. General duties will align with those listed under Team Specific Administrative & Operational Support (above); specific duties will vary depending on the assigned portfolio, but will likely include:
- Providing support to finalize donor reports or deliverables, including the coordination and compilation of inputs and feedback from technical staff, review, copy editing of documents and translation if/when appropriate;
- Participating in editing of program briefs, project success stories, and other project specific documents or reports for external audiences, as requested;
Knowledge Management for Team(s) and Specific Projects/Program(s) (20%)\Supports the department and agency’s overarching efforts to capture and deploy knowledge. Specific duties will vary but will likely include agency, department, team, and project-specific needs such as:
- Supporting quarterly reporting and operational planning processes by coordinating, compiling, editing, and summarizing team input;
- Providing day-to-day support for the team’s internal knowledge management systems, which includes but is not limited to maintaining staff contact information and distribution lists, organizational charts, and team and/or project homepages, and ensuring that these systems are updated in accordance with department, project, and agency guidelines;
- Managing team SharePoint shared folders and archiving project reports in the appropriate electronic libraries,
- Supporting the department’s Knowledge Management team to ensure Nutrition & WASH project tools and resources are uploaded and archived to the appropriate agency libraries or resource sites,
- Supporting team members to ensure donor and/or agency branding guidelines are followed and knowledge management activities are completed, as needed (e.g. submission of program materials to USAID Development Experience Clearinghouse);
- Liaising with DGH’s Knowledge Management Senior Specialist to answer requests from our Resource Development Department about nutrition or WASH programs and their achievements.
- Minimum 2-3 years' work experience
- Demonstrated experience in meeting and events planning and organization
- Willingness to perform any administrative task requested and follow through from start to completion
- Excellent computer skills and ability to learn new systems (Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Teams, Power BI)
- Exhibit strong desire to learn new skills and demonstrate willingness to teach others
- Excellent organizational, time management and both written and verbal communication skills; strong attention to detail, focus on achieving results, and ability to multi task and support various members of management simultaneously
- Ability to work independently with some supervision and prioritize multiple tasks in a fast-paced environment
- Ability to work as a team player, to be flexible, and to develop and maintain relationships with key groups (internal and external) to the organization
Preferred Qualifications
- 2-3 years’ work experience, preferably in an office setting gaining administrative or process management experience in a large complex organization and supporting teams working internationally
- Work experience or educational experience in related areas like communications, monitoring & evaluating, global health, nutrition, international business, international development, etc.
- Demonstrated interest in global health is a plus, particularly nutrition, nutrition-sensitive agriculture, or WASH
- Demonstrated experience with developing tracking and reporting systems
- Experience in knowledge management, communications, documentation, and information technology systems
- International relief/development experience is a plus
- Second language skills, particularly French, are a plus.
