We are currently seeking qualified candidates for the position of Administrative Project Officer II, Region XII Training and Technical Assistance Network  in Washington, DC

Areas of Responsibility: 
  • Perform a wide variety of assignments, which support the activities of the Region XII Project Director, and other TTA Specialists on the project.
  • Assist personnel to comply with internal corporate and OHS information system guidelines to ensure operational compatibility, security, and functional capabilities required to support program activities.
  • Prepare program and fiscal planning information and required correspondence and reports - Produce reports from HSES at the request of the Regional Office(RO) and Project
  • Director to complete Monthly TTA Activity Report;
  • Coordinate and Track Case Management Schedule and meeting notes
  • Participate in Meetings and take notes as directed by the Project Director
  • Conduct periodic review of HSES to verify that TTA reports are complete and map to Final Monthly Travel Plans;
  • Track and maintain up-to-date Regional TTA System information posted to the OHS Early Childhood Knowledge and Learning Center (ECLKC) workspace;
  • Designs, implements and coordinates our project data management processes and serve as the lead for the Data Management Team
  • Updates project Regional Professional Development Plan and work plan
  • Perform initial quality review and reconciliation between Projected Monthly Travel Plan (PMTP) and Final Monthly Travel Plan (FMTP);
  • Incorporate other tasks specific to the support of the TTA Coordinator’s work or as requested by the Contracting Officer Representative (COR).
  • Receive calls and inquiry to the appropriate staff for resolution
  • Coordinate and facilitate travel arrangements for staff, including tracking expense reports.
  • Provide logistics and other support for Project activities meetings requiring program participation. Such support includes preparing materials and correspondence, coordinating facilities and equipment, coordinating schedules, and ensuring communication between stakeholders.
  • Assist in developing and may provide logistical and other support for conference, workshops, training sessions, and meetings.
  • Collect, complies and analyzes information for the Project Monthly TTA Activity Report, Quarterly report and Annual Report.
  • Shares project accomplishments, challenges, and lesson learns learned with internal partners
  • Provides technical assistance to the staff on new FHI360 processes related to COMPASS/TESS and the Health specialist e-blast
  • Serves as the liaison with Contracts Management and Purchasing to accomplish project goals related to hiring consultants and purchasing resources. In addition, complete the necessary paperwork to receive approval from the client.
  • Provide backup computer technical assistance to staff in their daily work.
  • Assist with administrative duties including word processing, Excel spreadsheets, sending facsimiles, mailings, photocopying, and filing.
  • Maintain hard-copies of materials designated by the Project Director as well as computer files and archives.
  • Review travel expense reimbursements in collaboration with the Finance Manager.
  • Compile, analyze, track and summarize statistics and data, and other program information. Use various software applications to prepare graphs, charts, tables, databases, and reports
  • Other duties as assigned
Educational Background: 
Bachelor's Degree or its International Equivalent • Knowledge/Information Services, Communications, Education, Environment, Health, Behavioral, Life/Social Sciences International Development, Human Development or Related Field.
Skills/Experience: 
  • Typically requires a minimum of 5-8 years’ experience with program management, US Government rules and regulations.
  • Articulate and professional and able to communicate in a clear, positive fashion with clients and staff.
  • Must be able to read, write, and speak fluent English; fluent in host country language as appropriate.
  • Prior team lead experience preferred.
  • Prior work experience in a non-governmental organization (NGO), government agency, or private organization.
  • International or Domestic (US) Program Development or Program management preferred.
  • Travel Requirements:  10%-25%
