Under minimal supervision, manages daily financial operations of ACS CAN – including income and expense processing and reporting and contract management -  with primary responsibility for the national office.  Assists with staff training and provides support on new systems or policy and procedural updates.  Works closely with field Advocacy Coordinators, ACS CAN Income Development, and ACS Legal team on policies, procedures, communication and training, and compliance reporting.  Serves as back-up to Operations Coordinator and Organizational Development team on event logistics, iTravel/iMeetings, and talent strategies issues.

Areas of Responsibility: 

Serve as the national office resource on daily financial management of revenue and expense processing and reporting:Manage revenue received in the ACS CAN national office

  • Process ACS CAN donations/memberships, grants or other contributions at the national office. Maintains check log for office and ensures timely processing and recording of all checks
  • Handle all income processing exceptions and handles all staff questions about income processing
  • Review and move contributions for compliance categorization
  • Manages revenue information in constituent management and financial systems
  • Advise ACS and ACS CAN field staff on coding ACS revenue
  • Research internal and external inquiries regarding status of contracts, invoices, and payments.Manage all vendor payments for ACS CAN national office.
  • Manage ACS CAN invoice mailbox for timely processing of vendor payments and maintains open communication with vendors and ACS CAN national business owners.
  • Complete and submit Intercompany Transfer requests between ACS CAN and Inc. as required to reimburse Inc. for agreed upon expenses or legal requirements
  • Manage Strategic Director purchase card and ensure compliance with all rules regarding documentation and submission of reports.
  • Conducts monthly review of all ACS CAN expenses and prepare reclassifications as required to ensure proper allocation of permissible expenses across ACS CAN funds.
  • Create and manage inventory control process for national office.

Manage contract flow and contract system working with national office contract managers and ACS Legal team.

  • Executes contracts for national staff business owners through the iContracts system.  Monitors status of national staff contracts in the system and troubleshoots and resolves issues as needed.
  • Reviews policy requirements with contract managers for compliance
  • Monitor contract manager performance with timely contract amendments, Statements of Work (SOW), terminations and renewals including maintaining and assigning SOW numbers on Master Service agreements for all ACS CAN staff nationwide.

Oversee staff training on process, procedures and systems and provide ongoing support.

  • Partners with Income Development, ACS Legal, ACS Finance, ACS Talent Strategies, and others to create and provide ongoing training and technical assistance to ACS CAN staff on all payment systems (NetSuite, Coupa, and Concur), contract process, time-tracking system (ADP), and the constituent relationship management (CRM) system.
  • Manage data quality through input control mechanisms.
  • Provide lists, reports, and analysis as requested by team leads.
  • Coordinates training and the dissemination of information with the Field Advocacy Coordinators.
  • Collaborate with the Advocacy Coordinator team to effectively share information and maintain data standards and compliance requirements across ACS CAN.
  • Evaluate and propose continual improvements to policies and procedures as they affect ACS CAN intern processes related to new and existing systems.

Supports Strategic Director with compliance reporting and analytics.

  • Monitor national staff time tracking for completion and accuracy
  • Create regular time-tracking reports to ensure staff compliance and in advance of compliance reporting.   
  • Creates reports and analysis on income, expense, financial, contract, or constituent reports as requested by Strategic Director
  • Apply and follow ACS CAN policies and guidelines.  Maintain various records as needed.  Perform other duties as assigned
Educational Background: 
Bachelor’s Degree preferred with coursework in finance, accounting, contract principles or an equivalent combination of finance, accounting or contract process management knowledge and experience
Skills/Experience: 
  • At least five years of operations and/or project management and/or high level administrative experience
  • Computer, database, budget, and interpersonal skills required. Ability to learn new technology quickly and to utilize it effectively to execute position responsibilities.
  • Ability to work and problem-solve independently with minimum direction on fast-paced, time-sensitive matters with internal and external constituents and to complete work with accuracy.
  • Ability to establish and maintain effective working relationships with diverse individuals/ communities.
