PDQ Team Knowledge Management Support: 35%

  • Maintain and/or improve PDQ team Knowledge Management (KM) systems (shared folder, Workplace, OneNet, etc…) to ensure that information and knowledge generated by the team is properly curated and archived;
  • Review documents (trip reports, presentations, memos, reports, etc…) produced by PDQ team and collaborators to identify key lessons learned, best practices, case studies and other important knowledge of import to the team, the Humanitarian Business Team (HBT) and SC at large;
  • Work with the PDQ team to develop and/or refine set of key advocacy documents (2 pagers, concept notes, guidance material, etc…) and training resources (toolkit, guides, etc…) that will help promote best practices in humanitarian Monitoring, Evaluation, Assessment & Learning (MEAL), Disaster Risk Reduction (DRR), innovation and quality improvement to the HBT and beyond;
  • In close collaboration with the Humanitarian PDQ Director and the DHR Award Management team, support the development, roll-out and maintenance of an award quality monitoring tool;
  • Assist the PDQ team in planning, organizing and carrying out knowledge management interventions (brown bags, committee meeting, participation at external fora, etc…)

PDQ Team Coordination: 20%

  • Support the team in the development, monitoring, review and updating of annual humanitarian PDQ, MEAL and DRR workplans as well as relevant HBT Goal Tree deliverables;
  • In close collaboration with relevant Award Managers, track the planned SCUS DRR, MEAL and PDQ Technical Assistance (TA) included in current and upcoming awards against the amount of TA Level of Effort (LoE) already consumed. Provide regular update to the PDQ team in advance of grant expiration when expected TA has not been provided.
  • Maintain a PDQ team calendar, including travel plans, regular and extraordinary meetings of working groups, key award dates and other critical information;
  • Organize regular PDQ team meetings

DRR Award Management Support: 30%

Public and Private Resource Development

  • Coordinate the oversight and support provided to key DRR awards, in particular the Disney grant through collection, synthesis and dissemination of routine project information, convening of SCUS actors and keeping records of regular and ad hoc meetings, working closely with the respective award manager to ensure the proper management and monitoring of the award, participating in calls with implementing COs as requested;
  • Provide DRR MEAL technical assistance as requested by the MEAL Specialist;
  • Provide operational support to DRR projects administered by SCUS as directed by the Sr. DRR Specialist;
  • Support the development and review of concept notes and proposals as requested;
  • Support the development of DRR donor reports

Deploy in Humanitarian Responses/Award Management Technical Assistance: 15%

  • Deploy as possible in relevant capacity to Save the Children Humanitarian responses, both domestically and internationally as required;
  • Travel to Save the Children country offices to conduct award reviews and provide operations support.

Required Qualifications

  • Excellent computer skills (Word, Excel, PowerPoint, databases). Preferred Excel and PowerPoint power user; database builder (Access, SQL or comparable)
  • Experience in communications and information technology systems
  • Operational experience, such as working with financial systems, preferable
  • Demonstrated organizational skills and attention to detail
  • Ability to handle multiple tasks and ensure timely completion of short- and long-term projects
  • Ability to adapt to changing environment and workload
  • Ability to work under pressure and prioritize accordingly

Preferred Qualifications

  • Understanding of networked international NGO (preferably Save the Children) model, structures, systems and ways of working;
  • Experience in domestic and/or international humanitarian response processes, standards and approaches;
  • Demonstrated use of data collection tools in a development or humanitarian setting;
  • Proficiency in Spanish desirable
