The Managing Director is a new position that is responsible for supporting the Vice President of Public Policy and Government Affairs to help with the day-to-day management of a large, fast paced, and complicated department. DUTIES AND RESPONSIBILITIES
- Manage projects and plan staff retreats.
- Responsible for the agendas of various GR weekly staff meetings.
- Work proactively with Managers on professional development opportunities and needs for staff.
- Help manage hiring, firing, performance improvement plans.
- Manage GR strategic planning and goal setting process.
- Help prioritize and sequence big areas of GR work as needed.
- Represent and be a decision-maker within scope for GR in cross department meetings.
- Represents Vice President at meetings and disseminates information across program divisions.
- Occupy a peer role to the senior department team, directly reporting to Vice President.
- Temporarily own additional projects/areas of work that are either pilots or fall outside any one person's scope or that we lack capacity to.
- Strategic management of Vice President's calendar and daily agenda.
- Responsible for ensuring the calendar and agenda aligns with Program Strategy and Goals. Helps Vice President keep focused on key strategic priorities.
- Works with Vice President to delegate work appropriately to program division leaders to manage Vice President's workload and provide opportunities for senior team to flourish.
- Drafts materials and communications for Vice President.
- Plans and directs the Program Divisions' annual strategy and budget processes, in addition creates systems to measure progress towards goals and budget compliance year-round.
- Create and helps to manage the granting process to affiliates including reporting and collecting of data.
- Liaises with senior management and departments to ensure that the Vice President's events and meetings also support and align with Division/Department goals. Facilitates coordination of Program Divisions with Development, Public Policy and Communications, the CAO and Strategic Initiatives.
- Works with Vice President to design appropriate meeting structures and participation to facilitate needed coordination/integration of work and updates.
- Develops agendas and ensures that notes and follow-up are provided and tracked.
- Works with Vice President to ensure appropriate information flow and relationship development.
- Develops and implements communications strategy for all communications out of the Office of the Vice President, including follow-up correspondence with both internal and external stakeholders.
- Oversees scheduling of calls and agendas with internal stakeholders to ensure they are informed about the work and progress of the Program Divisions. Ensures that materials sent to the federation are appropriately coordinated and timed.
- Oversees the development of the Program Division Budgets and development of controls and processes to find and deliver value and cost efficiencies.
- Report significant variances to assure conformance with approved budget.
- This position regularly interacts with senior management staff, national board, senior consultants, affiliates and other department and program senior staff in partnership to develop and support the Program Divisions' Strategy and Goals.
- Ability to Manage the follow-through on problems/challenges that can be resolved independently and oversees the needed research and counsel necessary to provide superior support to the Vice President when issues arise that need his/her direct involvement.
- Bachelor's degree.
- 8-10 years of related, progressively responsible work experience in organizing or campaigns or non-profit management, including supervisory and management experience.
- Advanced knowledge of Microsoft Office Suite with excellent presentation skills.
- Knowledge of diverse groups, working with a multicultural workforce, and sensitivity and appreciation to cultural differences is essential.
- This position will need to respond to the needs of a fast-paced operation which requires after-hours availability.
- The ability to quickly determine which problems and challenges can be resolved independently and those that require the attention of the Vice President.
- Requires impeccable discretion, unflappable approach and behavior as well as excellent teaching and training abilities in managing a team.
- Team player with strong interpersonal skills.
- Ability to work closely (one on one) with Vice President and senior staff.
- Self-starter with a high level of creative initiative.
- Unflappable in face of crisis or high stress situations.
- Detail-oriented with excellent project management skills, ability to handle multiple projects and tasks, often in a fast-paced environment.
