Summary

As a part of a larger department operations team, the Nutrition Coordinator plays an important team and project support function within Save the Children’s large, complex, and fast paced Department of Global Health (DGH), International Programs. Under the direct supervision of the Nutrition Director, the Coordinator is responsible for providing cross-cutting administrative and operational support to the Nutrition team, and to specific projects across the department as the need arises. The Coordinator works in close collaboration with relevant department and project specific team members, Knowledge Management staff, and others across the agency to ensure his/her team and key stakeholders receive the necessary support to work effectively and efficiently. To achieve this goal, the Coordinator will promote actions in accordance with SC’s policies and procedures. Serving as a point of contact for numerous stakeholders with varying needs, the Coordinator delivers on multiple responsibilities with calm professionalism, an eye towards efficiency, and the enthusiasm to constantly learn, teach, and support others in a collaborative way. 

 

What You’ll Be Doing (Essential Duties)

Team Specific Administrative & Operational Support (35%)

Manages the day-to-day administrative decisions for the Nutrition team within Department of Global Health (DGH), ensuring strong communication, organization, planning, and coordination within the team. Specific duties will vary depending on the need, but will largely include needs such as:

  • Proactively coordinates and supports the preparation and execution of regular team meetings, workshops, webinars, teleconferences and events. This includes drafting and editing presentations, documents, and reports, coordinating and finalizing meeting agendas, disseminating and compiling information, notetaking, tracking and following up on action items, providing technology and logistics support, and other administrative support functions as needed;
  • Supports the team leader to monitor department resources and budget. This may include disseminating timesheet analysis and budget reports, processing payments, and serving as a timesheet coordinator;
  • Serves as a mentor and champion for our Save the Children’s processes, procedures, systems and tools and help train staff and troubleshoot issues;
  • Coordinates and contributes to Nutrition team-related proposal development efforts, as requested.
  • As needed, provides administrative support during the recruitment, onboarding, and orientation of new and transitioning team members.
  • Assist with travel planning, including visa requests, and monitor submission of trip reports.

 

Project and Award-Specific Operations and Support (30%)

In close collaboration with Nutrition team members, supports the project and award management administrative and operational needs for specific active awards. General duties will align with those listed under Team Specific Administrative & Operational Support (above); specific duties will vary depending on the assigned portfolio, but will likely include:

  • Participates in the development of project work plans, tools, documents, assists in tracking performance, and supports the editing of program documents as requested;

 

Knowledge Management for Team(s) and Specific Projects/Program(s) (20%)

Supports the department and agency’s overarching efforts to capture and deploy knowledge. Specific duties will vary but will likely include agency, department, team, and project-specific needs such as:  

  • Supporting quarterly reporting and the operational and strategic planning processes by coordinating, compiling, editing, and summarizing team input;
  • Providing day-to-day support for the specific team(s) internal knowledge management systems, which includes but is not limited to maintaining staff contact information and distribution lists, organizational charts, and internal documents. reports, briefs and resources, ensuring that these systems are updated in accordance with department, project, and agency guidelines;
  • Support teams in the development of project briefs and other project specific documents.
  • Supporting team(s) to ensure donor and/or agency branding guidelines are followed and knowledge management activities are completed, as needed (e.g. submission of program materials to USAID Development Experience Clearinghouse);
  • Liaising with DGH’s Knowledge Management Senior Specialist to answer requests from our Resource Development Department.

 

Other duties and special projects, as identified and prioritized by the department or direct supervisor (15%)

Responsibilities may include:

  • Supporting Team and Department leadership, which may include working on projects related to strategy development and coordinating with partner organizations of which Save the Children is a member; and,
  • Providing coordination support during proposal development processes.

 

Required Qualifications

  • High School diploma required. Undergraduate degree (BA) preferred, preferably in health, nutrition, public policy or relevant field
  • 2-3 years of administrative or process management experience in a large complex organization, supporting teams and international programs;
  • Demonstrated interested in global health is desired, preferably in nutrition.  International relief/development experience is a plus;
  • Experience in knowledge management, documentation, and information technology systems;
  • Excellent computer skills and ability to learn new systems (Microsoft Word, Excel, PowerPoint, Outlook, SharePoint);
  • Ability to develop tracking and reporting systems;
  • Excellent organizational, time management and both written and verbal communication skills;
  • Strong attention to detail, focus on achieving results, and ability to multi task and support various members of management simultaneously;
  • Ability to work independently with minimal supervision and prioritize multiple tasks in a fast-paced environment;
  • Ability to work as a team player and to develop and maintain relationships with key groups (internal and external) to the organization.

 

Preferred

  • Second language, particularly French, is a plus.
  • Exhibit strong desire to learn new skills and demonstrate willingness to teach others;
