Coordinate local logistics and operations for ACS CAN staff, including: Days at the Capitol, research receptions, policy roundtables, fundraisers and other special events, and staff and volunteer meetings.  Work closely with the lead regional advocacy coordinator to support more detailed local budget and other report needs, contracts, as well as tracking of ACS CAN membership recruitment within assigned territory.

Areas of Responsibility: 
  • Responsible for day-to-day tasks, including processing invoices, creating purchase requests, maintaining office equipment, order materials and supplies for staff, maintain staff calendar, collect agenda items for weekly staff meeting, etc.
  • Coordinate logistics of Day at the Capitol, research receptions, policy roundtables, fundraisers and other special events, including: registration sites, budget approval process and reporting, legal/contract approval process, paying invoices, coordination with other organizations, legislative appointments as needed, use of Capitol and other state-owned facilities, materials and photocopies.  Be familiar with ACS/ACS CAN meetings and travel policies and procedures, and navigate iMeet tool to register meetings where appropriate.
  • Coordinate logistics of volunteer and staff meetings, including Leadership Summit and Lobby Day, etc.
  • Provide high quality customer service to advocacy volunteers and ACS CAN and society staff and external constituents.  This may include: processing and tracking of volunteer activities, membership recruitment, petitions, donations, etc.
  • In collaboration with the lead regional advocacy coordinator and manager, assures adherence to ACS CAN specific legal and financial policies, such as lobbying codes (eTime and expenses), and use of hard and soft dollars for invoice processing.
  • Work with lead regional advocacy coordinator to support staff needs for Siebel, Convio, Lawson and Business Objects data entry, quality control, reports and lists for grassroots activities.
  • Manage other projects as assigned.
  • Provide administrative support including on-boarding/off-boarding, etc. 
  • Maintain various records as needed.
  • Apply and follow ACS CAN policies and guidelines.
  • Perform other duties as assigned.
Educational Background: 
Associates or bachelors degree (bachelors degree preferred), or equivalent work experience
Skills/Experience: 
  • At least two years of operations and/or project management and/or administrative experience
