Planned Parenthood Federation of America (PPFA) is seeking an effective and impactful Communications Coordinator in the Office of the Vice President. Reporting to the Vice President of Communications, the Coordinator will be responsible for providing administrative support for the Vice President’s calendar and activities, and other administrative projects to support the broad goals of elevating Planned Parenthood’s voice as a health care and advocacy leader, innovator and partner. DUTIES AND RESPONSIBILITIES
- Monitors OVP phone line and email inbox, directs requests to appropriate staff, and ensures that incoming requests are followed up on.
- When needed, posts material to Planned Parenthood website(s).
- Monitors and updates various online resource management tools.
- Schedules and coordinates meetings and conference call logistics for both internal calls and external calls with members of the media, affiliate offices, etc.
- Processes expense reports, reconciles department invoices, pay orders, and purchases, moves contracts through review process.
- Coordinates and books travel logistics for staff.
- Organizes paper and electronic files.
- Performs other duties and tasks as assigned.
- Bachelor’s degree.
- 1-3 year of customer service or administrative experience required.
- Working knowledge of Gmail, Google Documents, Google Drive, and Google Calendar is required.
- A demonstrated interest in issues of reproductive and sexual health, communications, advocacy, and/or media.
- Excellent organizational and customer service skills.
- Detail-oriented in a fast-paced multi-task environment. Quick to learn new systems and protocol.
- Good at troubleshooting and finding innovative ways to solve problems.
- Flexibility to work occasional night and/or weekend hours.
- Knowledge of diverse groups, working with a diverse workforce, and sensitivity to and appreciation of cultural differences is required.
- Knowledge of reproductive health, legislative and legal issues preferable but not required.
- Experience working in a mission-driven, not-for-profit organization is a plus.
- Bilingual is a plus.
