Alive & Thrive is scaling up improved infant and young child feeding and maternal nutrition through large-scale programs in several countries in Asia and Africa and through strategic technical support and the dissemination of innovations, tools, and lessons worldwide. Alive & Thrive is funded by the Bill & Melinda Gates Foundation and the governments of Canada and Ireland.
Job Summary / Responsibilities:
The Associate Director, Finance is primarily responsible for the Alive & Thrive project financial/accounting operations, including financial monitoring, reporting, analysis of financial data, and budget analyses of project’s multiple funders. He/she provides support on accounting and financial matters, identifies areas needing improvement and provides necessary staff development and training. He/She will be responsible for approving procurement packages and financial transactions to ensure compliance with the contractual and financial requirements of funders and generally accepted accounting principles, preparing donor financial reports, as well as representing the project in the annual external and internal audits.
Financial Management
- Assume primary responsibility for financial oversight and management of assigned awards and grants.
- Assist in the overall management of the project by preparing monthly pipeline reports, financial analyses, and donor financial reports for assigned awards and grants, identify areas of risk and ensuring standards of financial performance are met.
- Develop and implement effective and efficient business processes and procedures to deal with a wide range of financial issues.
- Where required, set-up field office finances in accounting software and field office compliance with generally accepted accounting principles, client regulations and FHI Solutions policies and procedures.
- Provide financial accountability and quality control; establish, apply and enforce FHI Solutions standard systems and processes.
- Review and approve financial transactions in line with approved budgets and in compliance with organizational policies and procedure, and donor requirements.
- Work with FHI Solutions staff to establish efficient systems and operations across all FHI Solutions projects and central services.
- Provide recommendations to, and consult with, project management staff on financial performance of assigned awards and grants.
- Provide leadership in financial reporting for annual budget planning, audit reviews and assessments processes.
- Monitor and update project budgets as assigned.
Field Office Finances
- Oversee status of project funds for relevant field offices under assigned grants/awards.
- Review and approve monthly imprest reporting of field offices including cash flow analysis, inventories, payroll, and all financial-related activities.
- Provide guidance to both home office-based Program Officers and field-based finance staff through updates and clarifications to polices and procedure manuals as needed.
- Develop, implement and train staff on financial systems and procedures.
Subcontractor Financial Administration
- Oversee financial monitoring of applicable subcontracts and partner agreements, including the review of vouchers for accuracy and compliance with client's billing requirements.
- Review cost proposals submitted by agencies and organizations for budgetary accuracy.
- Screen subcontractor annual audit reports and inform Senior Management of results.
- Maintain accurate and updated filing system for all partner and sub-agreements (both electronically and paper).

- High degree of proficiency in written and spoken English communication, including presentation and training skills.
- Ability to manage tight deadlines and deliver high volumes of work with minimal supervision.
- Well-developed computer spread sheet skills
- Working knowledge of relevant accounting software packages.
Travel Requirements:
- Possible travel to field offices, 5%-10%
Qualifications:
- Minimum of 8+ years of finance management experience.
- Experience in financial and contractual regulations and understanding of donor regulations and procedures. Familiarity with Bill & Melinda Gates Funded programs a plus.
- Must have experience with accounting and financial reporting for not-for-profit organizations working overseas
- Must be able to prepare account reconciliations and other standard accounting work papers.
- Knowledge of and ability to develop and maintain filing and record management systems.
- Experience training staff, including overseas non-native English.
- Experience working collaboratively with internal project, subgrant, and subcontract staffs.
- Knowledge of and ability to understand and navigate through an electronic accounting package.
- Overseas and/or program experience desirable.
- Past experiences managing and leading a finance department is required.
- Articulate, professional and able to communicate in a clear, positive manner with clients and staff.
- Must be able to read, write and speak fluent English; fluent in host country language as appropriate.
- Prior work in a non-governmental organization (NGO).
- Experience working with an international organization.
