The National Association of County and City Health Officials (NACCHO), a national organization representing nearly 3,000 local health departments nationwide, has an immediate opening for a Senior Program Assistant – HIV, STI Viral Hepatitis.
POSITION SUMMARY
The Sr. Program Assistant is an administrative role. They are responsible for providing professional support to the functional work of a programmatic team(s), including project coordination (organizing, complex scheduling, event logistics), financial support (contracting, processing payment requests), and basic research, analysis, and writing.
The Sr. Program Assistant performs work under moderate direction and can complete projects or components of large-scale projects/programs with little supervision. They may have frequent contact with outside organizations or internal stakeholders that may involve project coordination, information sharing, or resolution of problems. They may be required to attend and support external meetings.

POSITION SPECIFIC DUTIES
- Schedule meetings and conference calls
- Write meeting and conference call minutes
- Organize and coordinate meeting and webinar logistics
- Database entry
- Update program website content
- Disseminate program information via electronic distribution lists, websites, and other communication mechanisms
- Travel to training sites
- Support implementation of Request for Proposal processes (organizing application responses, preparing tracking sheets, consolidating scores, supporting communications and logistics with reviewers)
- Support contracting process (collecting and organizing required documents from grantees, preparing contract checklists, tracking submissions, requesting invoices, reviewing and preparing invoice and deliverable submissions for Project Manager and program staff review, coordinating logistics for technical assistance calls, etc.)
- Support delivery of technical assistance (assist in procurement process and contracting with TA providers, support travel logistics (if needed), assist in planning and logistics of trainings, workshops, conference sessions, etc.
- Support convenings logistics (Coordinate participant registration, meals, audio-video, room set-up, and other logistical needs at trainings and events; support LHDs with travel coordination, process travel expense forms)
- Address NACCHO member questions about information technology (e.g., webinar registration), conference and meeting logistics, and general program information via email and phone and forward all other questions to appropriate NACCHO staff
- Perform other job duties, as needed
EDUCATION/EXPERIENCE/SKILLS
Senior Assistants will have a high school degree or the equivalent and a minimum of three years work experience. Associate Degree or equivalent relevant field and two years related experience; or four years related experience and/or training; or equivalent combination of education and experience preferred. Some persons holding bachelor's degrees may accept positions at this level in order to gain the experience or exposure needed to obtain a specialist position.
- Strong background in administrative support required.
- Knowledge of office practices, procedures, and equipment.
- Intermediate Excel knowledge.
- Intermediate-level computer skills with Microsoft Office Word and Excel required. Experience working in an association/membership environment preferred.
- Knowledge of HIV/STI/viral hepatitis and maternal, child, and adolescent health preferred.

Salary Range:
$50,880 - $54,040
